Error: A mandatory tag is missing — Average number of employees during the period — when you run FRS 102 in Accounts Production Advanced

Scenario

You may get the following error message when you run an FRS 102 report in Accounts Production Advanced.

A mandatory tag is missing: Average number of employees during the period (Current Period).

Causes

The
Number of employees
note is missing from the report. Companies House requires that company accounts include the number of employees, even if there are no employees.
You may also get the error message if your FRS 102 template in Accounts Production Advanced is not up to date.

Solution part 1: check the FRS 102 template is up to date

  1. Close any clients that are open.
  2. Select the
    Template Entities
    tab to view the master templates.
  3. Check that Practice UK FRS 102 Master template is version 23.
  4. Update the template if it's earlier than version 23:
    1. Select
      Tools
      , then
      Content downloads
      from the dropdown list.
    2. Mark the checkbox for version 23 of UK FRS 102, then select
      Install
      .
    3. Select the
      Entities
      tab.
    4. Double-click the client to open it.
    5. Select
      Update
      .

Solution part 2: check display settings

  1. With the client open, select the
    Summary
    tab.
  2. Select
    General
    .
  3. In the
    Financial Statements required
    group, use the following settings:
    • FRS 105: mark the
      FRS 105
      checkbox.
    • FRS 102 Section 1A Small Entities: mark the
      FRS 102 Section 1A Small Entities
      checkbox.
    • FRS 102 Section 1A – Abridged Financial Statements: mark the
      FRS 102 Section 1A Small Entities
      checkbox.
    • FRS 102 Dormant Financial Statements: mark the
      FRS 102 Section 1A Small Entities
      checkbox.
    • FRS 102 Full Financial Statements: clear both checkboxes.
    • FRS 102 Consolidated Financial Statements: clear both checkboxes. 
  4. In the
    Financial statements to be presented to
    group, select
    Companies House
    , then mark the
    Filing filleted accounts
    checkbox as needed.
  5. Select
    OK
    to save your changes.
  6. Back in the
    Summary
    tab, select
    Refresh
    .

Solution part 3: enter the number of employees

  1. Select the
    Disclosure
    tab.
  2. Under
    Financial Statements
    , select
    Employee Information
    .
  3. Enter the
    Average number of employees
    in the
    Current Period
    and
    Prior Period
    .
  4. Select
    OK
    .

The final part of the solution is to set the number of employees. You'll only need to complete one of part 4A, 4B, 4C, or 4D according to the report you're running.

Solution part 4A: FRS 102 Section 1A — Abridged or Small Entities

  1. Select the
    Reports
    tab, then double-click the report from the list.
  2. In the
    Report Structure
    tab, expand the
    Financial Statements
    and
    Notes to the Financial Statements folders
    .
  3. If the
    Staff numbers
    folder name is displayed in grey text, then right-click it.
  4. Select
    Display
    , then
    Always
    from the context menu.
    Shows a list of folders in the Report Structure. The tree diagram of folders is expanded to show the contents of the Notes to the Financial Statements folder. In this folder, 'Staff numbers' is highlighted and the Display and Always commands from the context menu are shown as selected.

Accounts Production Advanced reruns the report. The Staff numbers note will be displayed in the report, which you can export and file at Companies House.

Solution part 4B: FRS 102 Financial Statements

  1. Select the
    Reports
    tab, then double-click the
    FRS 102 Financial Statements Report
    .
  2. On the
    Report Structure
    tab, expand the
    Financial Statements
    ,
    Notes to Financial Statements
    , then
    Staff costs
    folders.
  3. Right-click
    Staff numbers
    , then select
    Display
    and
    Always
    from the context menu.

    Accounts Production Advanced reruns the report.
    You might get a warning if you've entered an average number of employees on the
    Employee Information disclosure
    tab for only 1 department. This is because the mandatory tag for the
    Average number of employees
    is displayed in the total of the note. However, since only a single row for one department has been pulled through to the note, the total row with the mandatory tag doesn't appear.
  4. If the accounts continue to fail on export, complete steps 5 to 12.
  5. Run the report in
    Design
    mode.
  6. Select the
    Report Structure
    tab and expand the
    Financial Statements
    ,
    Notes to Financial Statements,
    and
    Staff costs
    folders.
  7. Double-click
    Staff numbers
    to go to that section in report.
  8. In the report, double-click the
    Average number of persons employed by the company
    table.
     Shows section 10 Staff costs of the Report. The second of three tables in Section 10 is 'The average number of persons employed by the company (including directors) during the year analysed by category'. In this example, the table has a single row for the Administration and support department with a figure for the current and prior year.
  9. In Design Smart Table, double-click the row of data that's shown in black text (not grey).
  10. In the Show section total group, mark the
    Display when one breakdown row
    checkbox, then select
    OK
    .
  11. In the Design Smart Table, select
    OK
    .

    In Design mode, the report now includes a total row in the Average number of employees table.
  12. Select
    Preview
    mode.
    note
    You can now export the report as an iXBRL file and file at Companies House.

Solution part 4C: FRS 102 Dormant Financial Statements

The FRS 102 Dormant Financial Statements report does not need to include the average number of employees note, but you may need to take the following steps to update the XML to solve the error.
  1. Download our FRS 102 Dormant Financial Statements text file and save it to your Windows Desktop.
  2. In the company, run the FRS 102 Dormant Financial Statements report.
  3. Select the
    Report Structure
    tab.
  4. Select the
    FRS S102 Dormant Financial Statements
    folder, then right-click and select
    Properties
    from the context menu.
  5. Select the
    XML Source
    tab.
  6. Delete all XML source text, then paste the contents of the
    FRS 102 Dormant Financial Statements
    text file to replace it.
  7. Check that the words
    Report template is syntactically correct
    appear, then select
    OK
    to update the report.

Solution part 4D: FRS 105 Micro Entities

  1. Select the
    Report Structure
    tab.
  2. Expand the
    Financial Statements
    ,
    Balance Sheet
    , and
    Notes to the Financial Statements
    folders.
  3. Right-click the
    Staff numbers
    folder, and select
    Display
    , then
    Always
    from the context menu.
  4. Select
    Preview
    mode and
    Export
    the report as an iXBRL file for filing at Companies House.
