Import data from the AI Hub into an iSheet

Set up

You must switch on and configure the
iSheets
module to import (or insert) AI data into a file metadata iSheet.
Click on
Admin
and then choose
iSheets
.
Click on the
More Actions
icon and choose
Manage Columns
.
On the
Manage Columns
screen, select
Add
and choose to add a single column or import multiple columns.
Single column
If you select to add a single column the
Add Column
screen opens:
Give the column a name and choose the column type from the dropdown options.
To have the AI Hub put file metadata into this column, you should select the option titled
Import data from external source
. Once selected, further options are offered. Select which AI engine you would like to use (if you have more than one enabled on the site) and choose the fields you need to appear in the iSheet. You can search in the field names, or filter to see a specific AI engine's fields.
Suppose you choose to combine two or more fields into a single column. In that case, a delimiter is needed to separate the individual field values, so a further option will display with a choice of delimiters. By default, the AI Hub will put a space between multiple values if you choose to combine them into a single field.
The AI Hub will try to fit the data to the column type and limitations. For example, if you have chosen a
Single Line Text
with a maximum length of
150
characters, and the AI Hub has data that is 200 characters long, it will trim the length of the data to make it fit the column, and add an ellipsis '...' at the end of the data to show it has been trimmed. Alternatively, if the column is for
Number
data, the AI Hub will try to ensure that the data is a number before it inserts it.
Select
Save
to save the changes and add the new column(s) to the iSheet. To view the new imported AI columns, choose
iSheets
from the top navigation and choose the metadata iSheet from the list of iSheets available.
The image below shows the AI-imported data columns are
Title
,
Currency
,
Document Type
and
Language
and where the files had this data type it has now been added into the metadata iSheet.
