Delete files and folders

Users with the appropriate permissions (Site and Content administrators and also users with Folder Admin rights) can delete files and folders from within the Files module.

Bulk deleting files and folders

Select the checkbox next to the files and/or folders that you wish to delete and then click

Delete

Confirming deletion of files
If only files have been selected to be deleted, the user will receive this confirmation prompt:
Delete? Are you sure you want to delete the selected items?
Select
Delete
to confirm deletion of the files.
Confirming deletion of folders
If the user is deleting a folder, the confirmation prompt will tell them how many files and sub-folders the selected folder contains:
Delete? This folder contains 11 files and 0 sub-folders. Are you sure you want to delete them?
Select
Delete
to delete the folder(s) and all of its content.
Deletion complete
The item(s) will be removed from the file list and moved to the Deleted items bin which is only accessible by Site and Content Administrators, where files and folders can be restored or permanently deleted.

Deleting individual files or folders

To delete an individual file or folder, select
More Actions
for that item and then select
Delete
.
A confirmation prompt, like those mentioned earlier, will be displayed.

Destruction of digital records

In some cases, digital records must be destroyed in a way that ensures their complete removal from your instance.
Please refer to the following steps if you need to ensure files are removed so that they cannot be restored:
  1. When a file is deleted, it is moved to
    Deleted Items
    , which acts as a recycling bin. The file is removed from the standard HighQ interface, but can be restored if needed (see below).
  2. A content admin (or above) for the site has access to the
    Deleted Items
    folder; they can either
    Restore
    or
    Delete
    files. If a file is deleted from
    Deleted items
    it is hidden from the site and instance, but is still available in the repository.
  3. Every night (approximately 3:00 GMT), any metadata, such as iSheet metadata, likes, comments, tasks, etc for files 'deleted' in step 2 are inactivated.
  4. Every Saturday at 3:00 GMT HighQ runs a cron job called 'Pending delete from repository'. This job picks the documents marked in step 3 and calls appliance/hybrid to
    permanently
    delete those files from the repository.
