Embed dynamic site content with Lists

The rich text editor can be used to show content from a module on the current site or a different site; not just a link to the content, but the actual content itself will be embedded within the page. This will make the page dynamic; as the embedded content is updated, the page will automatically be kept up to date as tasks are completed, contacts are updated or files are added. This is known as the
Lists
 feature. You can use this feature to show, for example, a team's outstanding tasks, the key contacts for a specific topic, or the files from a certain folder, inside of a wiki page. The
Lists
 feature is most useful when used on the Home page, where content like Recent Activity and a list of contacts can be displayed.

Generally embedding content

In the rich text editor, select
List

Insert list
 screen:
This screen displays all of the content areas that have been enabled within the current site and any other sites that the user has access to, that can be embedded on the page. Each type of content that can be embedded can be configured differently, as shown below, by changing the type from
Activity
 to
Blog
:

Embedding a list of files

To embed a list of files from the Files module, navigate to the
Insert list
 screen and select
Files
 within the
Type
 field:
From here, you need to enter the following details:
  • Type
     - This is the type of list you are inserting
  • Title
     - The title is optional
  • Site
     - Select which site the files will come from, from all of the sites available to you. This is set to the current site by default
  • Folder
     - You can select a specific folder which contains the files by clicking
    Choose
    . This displays the

     screen:
By default, all files from any folder(s), will be included. If a folder is selected, only files in that folder and not in any of its subfolders will be displayed. Select
Expand all
 to view all of the folders.
  • Author
     - Here you can search for any site user to select as the author of the list. More than one author can be selected:
  • Period
     - This is when the file was added, a choice of All (default), Last Week or Last Month
  • Items
    to
    display
     - This is the number of items that will be displayed
  • Order
    by
     - The order the list is ordered in - Recently updated (default) or Alphabetical
  • Metadata
     - To filter metadata, start entering the metadata and any matching metadata will be listed Select
    Insert
     to insert your list

Embedding wiki pages

To embed a list of pages from the Wiki module, select the
Wiki
 type and then enter the relevant information. All of the fields are the same as when inserting a file list. By default, only the wiki page titles will be listed, so additional information may be included.

Embedding blog posts

To embed a list of pages from the Blogs module, select the
Blog
 type and then enter the relevant information. All of the fields are the same as when inserting a files list. The Category field can be used to limit which category of blog posts will be displayed. By default only the blog post titles will be listed, so additional information may be included, including the number of comments.

Embedding tasks

To embed a list of pages from the tasks module, select the
Task
 type and then enter the relevant information. Most of the fields should be self-evident from the explanations above. By default only the task titles will be listed, so additional information may be included.

Embedding events

To embed a list of pages from the Events module, select the
Event
 type and then enter the relevant information. Most of the fields should be self-evident from the explanations above. The Period field shows the following:
By default, only the task event titles will be listed, so additional information may be included.

Embedding people

To embed a list of pages from the People module, select the
People
 type and then enter the relevant information. Most of the fields should be self-evident from the explanations above. The list of users can also be limited to a specific group and/or organisation, which is configured by the Site Administrator, and also by department and location, which are configured by users in their profiles. By default, only the site users' names will be listed, each of which is a link to the user's profile page.

Embedding external RSS feeds

RSS news feeds can also be embedded using Lists. Read Embedding RSS feeds for detailed instructions.

No matching items

If there are no items that match the criteria that have been selected, either because there are simply no such items or because the viewing user does not have permission to access the content,
There are currently no items
 will be displayed.

Deleting embedded content

To delete the embedded content, click the red
x
 at the top right-hand corner of the screen, when editing your content. Then select
Delete
 in the
Delete list
 screen:

Updating embedded content

To edit the embedded content, click the name of your content:
The
Update list
 screen opens:
Enter any changes and select
Update
.
