Overview of the report

This report gives the user the ability to generate a report of users' system and email preferences, which displays changes based on date ranges or current settings

Running the report

Navigate to
System admin
>
Audits and Reporting
>
User email/site preference setup
to display the
User email/site preference setup
screen:
In the
User email/site preference setup
screen, you have access to the following fields:
  • Target organisation
    : Here, you can specify the organisation that you want this report to be based on. (If this field is left blank, it will show results for all organisations)
  • Target users
    : Here, you can specify which user you want this report to be based o. (If this field is left blank, it will show results for all organisations)
  • Type
    : If you want to view a comparison between what a user has changed regarding their preferences, you need to use the
    Compare profile
    type and you must add a date range to the
    Optionally compare
    field. However, if you want to get a view of what all the user's preferences currently are, then you need to use the
    Current profile
    type, making sure to leave the date range set to default.
You need to select between if you want to view Dashboard preferences (also known as system preferences) or Email preferences.
We have introduced filters to the
User email/site preference setup
report to enable users to manipulate data and narrow down their reporting criteria more easily.

Filter by organisation or group

Here, you can filter your report by organisation or group:
Type to search for an organisation or group or select
Bulk add
to add multiple organisations and groups.

Filter by user

Here, you can filter your report by users:
Type to search for a user or users.

Filter by metadata

Here, you can filter your report by metadata:
Select which metadata you wish to filter by.
Once you have filled in all of the fields, select
Show audit
to show your audit.
The delimiter of this report can be changed to either Comma, Colon, Semi-Colon or Pipe. To change this, please contact HighQ support. Once this has been changed to your preference, when you run a report, the information will be separated via the method chosen, e.g. semi-colon:

Managing metadata displayed in reports

As of our March 2023 release, we have introduced the ability to remove unwanted out-of-the-box metadata from the User email/site preference setup audit report. To do this, navigate to your drop-down profile >
System admin
>
System settings
>
Metadata
:
The
Metadata
screen opens. This lists all of the available metadata within your site. Out-of-the-box metadata is identified by a cog, next to the name of the metadata:
Click the metadata you want to hide from your report and the
Metadata name
screen opens:
Here, you can de-select the new
Show in reports
checkbox, which will then remove this metadata from your report. Select
Save
to save your changes.
