Create ACH files

  1. Select
    Actions
    , then
    Process Direct Deposit
    .
    tip
    Use the filters to show just the data you want.
  2. ark the checkboxes for transactions you want to create ACH files for.
  3. Select
    Create Files
    .
  4. In the
    Process Direct Deposit File
    window, check the information for the ACH header, including file names, then select
    OK
    to create.
    note
    The application combines transactions into a single ACH file if all of the following fields match (otherwise it creates separate files):
    • Originator Bank.
    • Immediate Origin Name.
    • Immediate Origin.
    • Immediate Destination.
    • Reference Code (optional).
    The application creates ACH files in the default file location shown at the end of the screen. If your firm uses Virtual Office CS, you may also want to copy the file to your local drive.
  5. If you use Kotapay to transmit files, check the information shown and select
    Submit
    or
    Reject
    .
    note
    To transmit with Kotapay, you'll need to have already entered your account credentials in the
    Transmission Information
    window.
  6. If you don't use Kotapay to transmit files, send the ACH files to the bank. Instructions on how to do this will vary by bank.
    note
    The application shows the Funding Activity report if you processed funding ACH files and marked the
    Display Funding Activity report after creating ACH files
    checkbox. This checkbox is in the
    Process Direct Deposit Options
    window.
  7. If you need to re-create an entire ACH file:
    1. Select
      Manage Files
      .
    2. Select the ACH file you want to re-create.
    3. Select
      Recreate File
      .
  8. If you need to re-create an ACH file that includes only some transactions:
    1. Mark the
      Include processed files from [[range]]
      checkbox.
    2. Select
      +
      to expand the file information.
    3. Mark the checkboxes for the transactions you want to include.
    4. Select
      Create File
      .
