Set up scheduled transactions

You can set up a scheduled transaction template to create deposits, checks, AP checks, payments, or AP payment transactions on your defined schedule.
  1. Select
    Setup
    , then
    Transaction Templates
    .
  2. Select the transaction in
    Type
    , then the
    Transaction Detail
    section.
  3. Select the bank account and journal, or add them as needed.
  4. Enter information in the
    Transaction Detail
    section that all transactions created from this template will use.
  5. Select the
    Template
    tab, then enter an ID and a description for this template.
  6. Select
    Scheduled
    in the
    Type
    field.
  7. Distribute the transaction to 1 or more GL accounts on the
    Distributions
    tab, then select the GL account for each distribution.
  8. Enter an amount for each distribution.
  9. Select a 1099 item for each distribution if needed for payments only.
  10. Select the
    Details
    tab if this template is for deposit transactions.
  11. Enter more details on the
    Details
    tab to split the total deposit for your own records and for the items available to clear in the bank account reconciliation.
  12. Define the parameters of the schedule in the
    Schedule Details
    ,
    Start Schedule
    , and
    End Schedule
    sections of the
    Schedule
    tab.
  13. Mark the
    Must occur on weekdays
    checkbox for Monthly and Semimonthly templates if the transaction date needs to fall on a weekday.
  14. Specify the
    Start
    date for creating transactions from this template in the
    Start Schedule
    section.
  15. Enter the number of days in advance to create the transaction before the transaction date.
  16. Mark the
    Prompt before creating transaction
    checkbox to receive notifications when you schedule transactions for creation.
    You can select which transactions to create in this widow.
  17. Select the end criteria in the
    End Schedule
    section to determine when to stop creating transactions from this template.
    • Select
      No end
      to continue creating transactions until you change this set up or delete the template.
    • Select
      Amount
      or
      Number of instances
      to stop when the
      Remaining
      field reaches 0.00 or 0, respectively.
  18. Select
    Enter
    to save the template.
You've now configured and saved your scheduled transaction template.
