Verify Social Security numbers

Make sure employee Social Security numbers (SSNs) and names entered in Accounting CS match those on file with the Social Security Administration (SSA). Follow these steps to create a file to send to the SSA for verification.
  1. Select
    Actions
    , then
    Verify SSN/TIN
    .
  2. Select the
    SSN
    tab.
  3. Select the plus signs to expand the client list.
  4. Mark the checkboxes for individual employees you want to verify. You can also mark the checkbox next to a client ID to select all employees for that client.
  5. To compress the file, mark
    Compress File
    . The SSA accepts both compressed and uncompressed files.
  6. Select
    Create File
    .
  7. Upload the file to the SSA.
  • The file saves to the location displayed at the end of the screen.
  • To change the save location, go to
    Setup
    File Locations
    File Creation
    Edit SSN verification
    .
  • If a file already exists, you can replace or add to it.
  • The system marks verified employees in the Employees screen.
  • If the SSA reports invalid SSNs, clear the
    Verified
    checkbox in the
    Employees
    screen.
  • To remove an employee from the verification file:
    1. Select
      Manage Files
      in the
      Verify SSN/TIN
      screen.
    2. Select the employee.
    3. Select
      Unverify
      .
