Create and send a document request

You can send document requests to anyone, even if they don't have access to AdvanceFlow.
  1. Sign in to AdvanceFlow, choose an engagement, then select the
    Communications
    tab.
  2. Select
    Create request
    .
  3. Enter a request title.
  4. Choose a client contact from the dropdown menu, or select
    Add client contact
    to create a new client contact.
  5. Select a staff member from the
    Individual assigned to request
    dropdown to assign a request to another staff member. This will send any comments or notifications of document uploads to the selected staff member.
  6. Select a
    Due Date
    by which you wish to receive the documents.
  7. You can set up advanced options:
    1. Include in roll forward
      : Select this option to roll forward the request from 1 period to the next.
    2. Opt out of staff email updates
    3. Require password
    4. Send email reminder to client
      : Set up reminder emails to be sent to your clients for document requests as the due date approaches. You can set up automatic email reminders to remind your clients to upload documents to their requests according to your customized schedule. The number of days before a due date can be set for all engagements or specific to a certain request.
  8. Enter a brief description in the Document request field.
  9. Select
    Add document request
    to request additional documents.
  10. Select
    Send
    if you're finished or select
    Save as draft
    if you want to finish later.
    The recipient will receive an email that includes a link to upload the requested files.
    note
    • You can have a max of 50 document request lines or sub requests items per request. The file size limit is 500 MB per document.
    • You can request documents from only one recipient at a time.
    • After creating and sending document requests, you can sort them by Due date, Last sent or Last received. Simply select one of these column headers to sort the list of requests.
    • The Client Communications portal is encrypted with SHA 256 bit https for both uploading and retrieving client documents.
