Share an engagement with a third party

You may need to make an engagement available to a third party, such as a peer reviewer.
There are two methods to share an engagement: print to PDF or create a new user or group with read-only rights.
  • Print the engagement to a PDF
    1. Send the PDF via a secure data exchange.
    2. Optional: set up a new ClientFlow user and publish the PDF to the portal.
  • Set up a new user or group with read-only rights
    Using this method, you'll set up a new user in GoFileRoom and that person will access the engagement directly in Engagement Manager.
    1. Add a new group with read-only rights.
    2. Add a new user to the group you just created.
    3. Set
      User Document security
      to
      Allow
      or
      Deny
      access to indexes such as a specific client name, client number, year, etc.
      Allow Access
      permission is also an implicit deny permission for any indexes not specified as allowed. The
      Deny Access
      permission is also an implicit allow permission for unspecified indexes.
      Allowing access to a single client in the indexes will make only that one client show in the
      Manage Engagements
      screen in Engagement Manager. Allowing access to a specific year or engagement type doesn't prevent the user from seeing other engagements for the same client though. Other engagements for the allowed client can still be opened by the third-party user. The documents within those engagements will become read only, based on the allowed access, but the trial balance and workpapers tree will be visible.
    4. Add the user to an Engagement Manager permission group that offers the desired permissions within Engagement Manager.
    5. Give the login credentials to third party with instructions for how to access the data.
