Rename Clients

The need to rename clients in CS Professional Suite applications arises from time to time and must be handled correctly to allow the advanced integration between the 2 applications. Fixed Assets CS and UltraTax CS have the capability of doing both a "Save As" or a "Rename" of a client. Each action will result in a new client, but what is the difference between the 2 and what are the ramifications on integration between the applications?

  • Rename
    : Performed under
    File and then Rename
    . Will rename all files in a client, including prior year depreciation data files.
  • Save As
    : Performed under
    File and then Save As.
    Will create a 2nd copy of all files in a client, including prior year depreciation data files, under a different name. The original client data files will still exist under the original name. After a Save As has been performed 2 copies of the client will exist under 2 different names.

Ramifications

Renaming a client (
File
, then
Rename
) will rename all of the files in a client, including the depreciation data files for prior years. So, if a client is processed in 2007-2014 UltraTax CS under the name "Smith" and then is renamed in 2015 UltraTax CS to "Jones", the depreciation will be gone from "Smith" in prior (2007-2014) years of UltraTax CS. This is because there are no longer any 2007-2014 depreciation data files for "Smith", they were all renamed to "Jones". In this scenario it is best to use the "Save As" option, as this will make a copy of the Smith depreciation files and name them "Jones", leaving the original "Smith" depreciation data files in place. Client "Smith" can then be deleted from the 2015 UltraTax CS and only the 2015 depreciation data file will be deleted, the prior year "Smith" depreciation data files will remain.
