Fields & buttons
Data location
Use this dropdown list to select the data location in which you want to store the new client's data. You'll need to add a data location in the
Setup
,
System Configuration
, then
Data Locations
tab before you can select it here.
note
This field is read-only if you haven't set up additional data locations or if you are viewing this field in the
Client Properties
window.
Client ID
Enter up to 11 alphanumeric characters to represent the unique ID for this client. Don't include any blank spaces or special characters. The application automatically uses all capital letters for this field.
If you also process information for this client in UltraTax CS, Accounting CS, or Creative Solutions Accounting (Write-Up CS or Trial Balance CS), you'll need to use the same client ID in all applications.
Name
Enter the client's full name. Fixed Assets CS uses this name on all reports, including the Form 4255, Form 4797, and Form 4562 facsimiles.
Entity
Enter the client's entity type, or press F4 and select the correct entity type from the dropdown list.
EIN / SSN
Enter the client's employer identification number or Social Security number. Fixed Assets CS automatically inserts the hyphens based on the entity type.
If the client has applied for but not yet received an EIN or SSN number, enter the letter
A
in this field. Fixed Assets CS then prints
Appl'd For
wherever the number is required on forms or reports.
Current fiscal year end
Enter the client's fiscal year-end date using the
MMDDYY
format.
note
Fixed Assets CS automatically updates this field when you advance to the next fiscal year (by selecting
Close to the Next Year
on the
File
, then
Select Period to Process
window).
Calc period tab
Select the calculation period for this client (Annual, Quarterly, or Monthly) and then enter the ending date for the client's current depreciation period using the
MMDDYY
format.
note
Fixed Assets CS calculates the current depreciation by figuring depreciation through the end of the current period less that already taken during the year.
When you use the
File
, then
Select Period to Process
window to change to a different processing period for the open client, the change is automatically reflected in
Current period ending date
in the
File
, then
Client Properties
window and in the title bar of both the
Asset List
window and the
Asset Detail
window.
Short years tab
Fixed Assets CS uses the fields in the
Short Years
tab to calculate the correct prior and current depreciation expense for assets. These fields are also used to indicate if the client's first year was a short year.
Oldest:
If the company has a year end prior to the year end entered in
Interim
, enter that year end date here.
Interim:
If the company has a year end prior to the date entered in
Most recent
, enter that year end date here.
Most recent:
Enter the company's first year end that is prior to the date entered in
Current fiscal year end
.
note
When the first year of business is a short year, enter in this field the ending date of the month preceding the month that the short year began.
When you are done making your changes, select
Tasks
, then
Calculate All Assets
to recalculate depreciation for all of the current client's assets.
Due to the importance of these fields for accurate depreciation calculation, Fixed Assets CS doesn't let you close the
New Client
window (or the
Client Properties
window) until the year ends are entered correctly. Verify the following conditions exist.
The dates are entered in ascending order from the
Oldest
to the
Most recent
field.
You only enter year ends that are different from the year end preceding or following.
You only enter year ends prior to the year end entered in
Current fiscal year end
.
You enter the year in
MMDDYY
format because the application only calculates depreciation based on whole months. Therefore, the
DD
should be the last day of the month.
note
Examples
A client with the current FYE of 6/30/17 had the prior fiscal year ends of 6/30/16, 3/31/16, 3/31/15, 6/30/14, and 9/30/13. You would enter 3/31/16 in
Most recent
, 6/30/14 in
Interim
, and 9/30/13 in
Oldest
.
This is the client's first year and it is a short year. The client's fiscal year began 5/15/18 and ended 12/31/18. You would enter 4/30/18 in
Most recent
.
