Manage document approval features

GoFileRoom enables you to approve GoFileRoom documents for distribution and manage approval features at the group or individual level.

  • To enable this feature, contact GoFileRoom Support.
  • The approval of documents for distribution doesn't affect access to GoFileRoom documents by ClientFlow or Onvio Client Center users.
  • Documents that are approved for distribution comply with all of your firm's current user and group document security rules.

Approve documents for distribution

Follow these steps to approve documents for distribution.
  1. Perform a search to locate the document.
  2. Mark the checkboxes for the documents to approve.
  3. Right-click and select
    Approve
    from the context menu.

Designate a group to view only documents approved for distribution

To designate a group to view only those documents approved for distribution, GoFileRoom administrators can create a new group and mark the
Access to Approved documents only
checkbox in the
Group Permissions
tab of the
Manage Users
, then
Groups
screen.
For example, you could create a group for off-site staff members who need to work with documents but who aren't to view client Social Security data.

Control which users can approve documents for distribution

To control which users can approve documents for distribution, GoFileRoom Administrators can create a new group and mark the
Permission to Approve for distribution
checkbox in the
Group Permissions
tab of the
Manage Users
, then
Groups
screen.
