FirmFlow checklist guidelines

The FirmFlow module of GoFileRoom has an option to utilize checklists. These checklists can be used as a reference when completing the various steps of the workflow. The checklists can be created manually or imported.

Work with Checklists

  1. If you're an administrator, select
    Administration
    ,
    Manage FirmFlow
    , then
    Checklist Configuration
    .
  2. Select the engagement type that you want to configure or modify.
  3. Enter new header information or modify existing headers. Each header will have its own unique items.
This is how the headers and items will display.

Import Checklists

A checklist can be imported from Excel. The list must follow proper formatting guidelines or the import will not succeed.
  • There should be no blank rows or columns.
  • The cells should be formatted as general or text.
While checklists can't be exported from FirmFlow, some sample checklists are available below. Click the appropriate checklist type. These are samples that can be modified to suit each firm's needs. Column A is the header, and Column B are the items. The header should be the same and grouped together for all items that are to appear below it. In the above screen shot "General" would appear in column A 3 times, with each corresponding item appearing next to it in column B.

Importing tips

  • If there are problems with the import, or an error occurs check the formatting of the Excel sheet.
  • Press Control-End while viewing the Excel file. This should go to the last cell that contains data. If it does not, remove the extra cells or rows.
  • Try formatting the cells as text.
  • Try copying the entire sheet and using the paste special feature of Excel. Paste in only values to the new sheet.
  • Header fields have a 100 character limit; Item fields have a 500 character limit. Exceeding these limits will cause an error of "Errors were encountered in the import process. Verify the imported checklist against your original file." To resolve this, shorten the item that exceeds the character limit, and re-import the checklist.

Reset Checklists

A newly imported or modified checklist will not immediately take effect on existing workflows. Newly created workflows will use the new checklist. If you would like to update existing workflows to the new or modified checklist, the checklist must be reset.
To reset checklists:
  1. Go to either the
    My Work
    or
    Search Workflows
    window, and select the appropriate workflows.
  2. Right-click the workflow, then select
    Reset Checklists
    .
