Configure the MyFiles drawer

The MyFiles drawer is for private documents. Follow these steps to manage user access to this drawer.
  1. Select
    Administration
    then
    Manage Users & Group
    .
  2. Go to the
    Groups
    tab and add a group with the following details:
    • Select Group
      : New Group
    • Group Name
      : D-MY FILES [RAED] - FULL ACCESS
    • Comments
      : Drawer Permission Groups
    • Upload Location
      : Unassigned
  3. Select
    Save
    .
  4. Go to the
    Group Permissions
    tab, select
    D-MY FILES [RAED] - FULL ACCESS
    from the
    Group
    dropdown, and mark the following checkboxes:
    • Read
      for the FileRoom.
    • Read
      ,
      Add
      ,
      Edit
      ,
      Delete
      , and
      Lookup Mgmt
      for My Files.
  5. Select
    Save
    .
  6. Go to the
    Groups
    tab and add a group with the following details:
    • Select Group
      : New Group
    • Group Name
      : D-MY FILES [RAED] - LIMITED ACCESS
    • Comments
      : Drawer Permission Groups
    • Upload Location
      : Unassigned
  7. Select
    Save
    .
  8. Go to the
    Group Permissions
    tab, select
    D-MY FILES [RAED] - LIMITED ACCESS
    from the
    Group
    dropdown, and mark the following checkboxes:
    • Read
      for the FileRoom.
    • Read
      ,
      Add
      ,
      Edit
      , and
      Delete
      for My Files.
  9. Select
    Save
    .
  10. Go to the
    Group Document Securty
    tab, select
    D-MY FILES [RAED] - LIMITED ACCESS
    from the
    Group
    dropdown, and set the following settings:
    • Select the
      FileRoom
      then the
      MyFiles
      drawer.
    • Select
      Author
      from the Indexes then
      Deny Access
      .
    • Enter an
      asterisk
      in the
      Lookup
      field then select
      Add
      .
  11. Select
    Save
    .
  12. Go back to the
    Groups
    tab and enter users to the new groups:
    • Add the users you want to have access to all documents in MyFiles to
      D-MY FILES [RAED] - FULL ACCESS
      .
    • Add the users you want to have access only to their own documents to
      D-MY FILES [RAED] - LIMITED ACCESS
      .
  13. Go to the
    User Document Security
    tab, select a member of the
    D-MY FILES [RAED] - LIMITED ACCESS
    group, then set the following settings:
    • Select the
      FileRoom
      then the
      MyFiles
      drawer.
    • Select
      Author
      from the Indexes then
      Allow Access
      .
    • Select the user's name from the the
      Lookup
      field then select
      Add
      .
  14. Repeat step 13 for each member of
    D-MY FILES [RAED] - LIMITED ACCESS
    .
