Use Add File Link documents

The
Add File Link
feature in GoFileRoom is useful for referencing shared documents securely outside of the GoFileRoom application and a small audience within your firm. This is ideal for managing sensitive and confidential resources. It supports network paths, SharePoint files, URLs, and cloud-based applications.

Ensure consistent and shared network paths among all staff members.
Follow these steps to
Add File Link
from GoFileRoom.
  1. Select
    Add Documents
    from the GoFileRoom toolbar.
  2. Enter the document's index information, including all required fields.
  3. Select
    Add File Link
    .
  4. Paste the folder or file path, then select
    OK
    .
    You'll receive confirmation that your local file added successfully.
  5. Search for the document reference using
    Document Search
    or
    Classic Search
    screen.
    Accessing linked documents
    • When accessing the document in search screens, use the
      Preview
      icon to copy the link to the clipboard. A message, “Link Copied”, will appear.
    • Paste the file link path into a browser or Windows Run command line. Share the path with colleagues as needed.
    note
    • File links appear in GoFileRoom as records, indicated by icons on the Classic Search and Document Search screens.
    • You can manage file links like other documents, but some actions are limited.
    • You can copy, move, re-index, and delete file links. To change a file path, delete the existing document and add a new one.
