SOP Instructions for Attorneys

The topics below provide specific instructions for the outside counsel attorney (and his or her delegates) who is the SOP Responsible Person for a SOP record. The topics apply to outside counsel attorneys, in-house attorneys and delegates of attorneys. If an attorney selected one or more delegates, the delegates will:
  • Receive the same emails as the attorney
  • See the same alerts as the attorney
  • Be able to take the same actions to resolve the alert.

How It Starts-Attorney Made the SOP Responsible Person for a SOP Record

Company users route or create a SOP record in a matter. An attorney is not responsible for the SOP record and does not receive email notifications or alerts until after the SOP record is moved into a matter. An attorney becomes responsible for a SOP record after the SOP record is moved into a specific matter and the attorney is or is made the SOP Responsible Person.
Email Notifications
An attorney knows he or she is responsible because the system immediately sends an email to the attorney once the attorney is the SOP Person Responsible and the SOP is in a matter. If the response due date was entered for the SOP record, the attorney receives reminder emails about entering response data on the following days:
  • Ten days before the response is due.
  • One day before the response is due.
  • On the day the response is due.
Alerts
Tracker provide alerts in the system only if action is required to complete response data. If you view a list of SOP records on the Documents List/Search page or
Documents
in a matter, you will see an
Action Required
icon next to every document for which a response is due.
If an attorney is made responsible for a SOP record but there is no response data that is due, the attorney is not required to take any action in the system. If an attorney is made responsible for a SOP record and response data is due, it is the attorney's responsibility to make sure all proper responses are timely filed. To clear the alert, the attorney (or his or her delegate) must complete the following in Tracker:
  1. Access the SOP record by clicking the SOP record link in the email notification or by accessing
    Documents
    for the applicable matter.
  2. Right-click the SOP you want to enter the response information for then select
    Edit
    .
  3. In the
    Response Due Date & Related Information
    section, indicate whether the response was filed for
    Has Response Been Filed
    . If
    Yes
    is selected, complete the associated
    Response Date
    and
    Response Attachment
    fields.
  4. Click
    Save & Close
    .
If a law firm attorney is the SOP Person Responsible and if outside counsel has not entered a response by the response due date, then the law firm will not be able to post invoices to the matter.
