Notifications for events

Practice CS includes the ability to notify selected staff when specific monitored events occur in the program. Notifications can be in the form of a pop-up message and/or email, and will also appear on the Notifications dashboard portlet, if used.
We use examples from the Project Management module to show the types of notifications, and to illustrate the way that notifications work. You can also configure notifications relating to:
  • File transfers if you use the Client Management module.
  • Accruable benefits and comp time usage in the Staff Management module
  • Changes to items on your schedule in the Staff Management module
  • A client's WIP or A/R limit has been exceeded.

Setup

  1. Select
    Setup
    ,
    Firm
    , then the
    Notifications
    tab.
  2. In the Monitored Event section, mark the events you want to receive notifications for.
  3. For each selected event, select the staff who should receive the notification. You can use the dropdown menu to choose a specific staff person in addition to the responsible and assigned staff, but you cannot select multiple staff by name.
  4. If you want the notification to be sent by email, mark the box in the
    Notify by E-mail
    column.
  5. Select
    Enter
    to save your settings.

Receiving notifications

A notification can be received in the following ways.
  • Pop-up notification
  • Email notification
  • Entry in the Notifications portlet on the Staff Dashboard

Pop-up notifications

A pop-up notification appears in the lower right corner of your screen shortly after the event occurs. To receive pop-up notifications you must turn on
Enable desktop notifications for monitored events
in the
System
tab on the User Preferences screen.The pop-up notification appears shortly after an event occurs and disappears about 10 seconds later, similar to Outlook mail notifications. This means if you're not at your computer when the pop-up notification appears, you might miss it. To avoid this from happening, select
Show desktop notifications until closed
on the
System
tab of the User Preferences screen. With this option selected, the pop-up notification will remain on the screen until you close the notification.

Email notifications

Notifications can also be sent by email. To receive notifications by email,
Notify by E-mail
must be checked for the event in the notifications setup screen. The email is delivered to the email address on the staff member's primary contact e-mail address in the Staff screen.
The email notification contains the same message as the pop-up notification.

Notification portlet

You can add the
Notifications
portlet to any view on the
Staff Dashboard
. All notifications are entered into the Notifications portlet unconditionally, even if Practice CS is not running. We recommend that you sort the portlet by the
Date/Time
field (descending), so the newest notifications appear at the top of the list.
