UltraTax CS Source Data Entry

Overview

UltraTax CS Source Data Entry (SDE) is a tool to simplify the data entry for common tax forms like W-2s and 1099s. It's great for staff members who aren't as familiar with UltraTax CS, and lets them enter data without directly accessing client returns.
This tool is part of your UltraTax CS license and you can access it from the desktop icon or within UltraTax CS.
Source Data Entry uses the Data Sharing feature. When you export information from SDE, it will look for a matching SSN, TIN, and/or EIN in UltraTax CS. Once there's a match, UltraTax CS prompts you to accept the shared data into the correct return.
Once data is entered, you can share the data with UltraTax/1040 client returns using the Data Sharing feature.
Source Data Entry supports a wide array of forms, including but not limited to:
  • W-2 and W-2G.
  • Various 1099 forms.
  • Schedule K-1.
  • Forms related to retirement income like RRB-1042S and SSA-1099.

Tips, notes, and troubleshooting

  • Use cases for SDE:
    Don't use SDE if a form has data that SDE doesn't support. Additionally, don't use it if the information overlaps with data shared from another source (like Accounting CS or a business return). Enter the information directly into UltraTax CS instead.
  • Inactive fields:
    Some fields in SDE are inactive. It's usually because there isn't an equivalent field in UltraTax CS or you don't need them for the return.
  • Dependent's information:
    Data you enter using a dependent's SSN won't transfer to the taxpayer's return that is claiming the dependent.
  • Review for accuracy:
    Make sure all SSNs, TINs, and EINs are correct. This is what prompts the data sharing.
  • Rounding:
    Most fields round dollar amounts to whole dollars. However some fields, like local tax on Form W-2, keep cents.
  • Automatic Calculations:
    By default, FICA and Medicare wages and taxes are auto-calculated from Federal wages on Form W-2. You can disable this in the System Configuration settings.
  • Formatting:
    Use the Ab and AB buttons to switch between mixed case and uppercase formatting. Set your default preference in the
    System Configuration
    settings.
  • Final Checks:
    After you export, review in UltraTax CS before you accept data into the client's return. You have the option to correct or postpone the import. It's also possible to discard changes or delete data if necessary. Changes made in the client after you accept won't update the original data in Source Data Entry.
