Virtual Office CS or Software as a Service setup guide

Use this step-by-step guide to install and customize Virtual Office CS or Software as a Service (SaaS) for your firm's needs.
Complete the following steps in order:

Step 1: Work with your tech to configure your environment

  1. Work with your tech to make sure your environment meets our system requirements.
  2. Set your antivirus and firewall preferences to stay protected without compromising performance, function, or stability.
  3. Install Citrix on all computers that need to work in Virtual Office CS or SaaS applications.

Step 2: Sign in, add NetStaff CS accounts, and enable permissions

  1. Sign in to netlinksolution.com as the Firm Administrator using the credentials provided in the welcome email we sent you.
  2. Select
    Admin
    , go to the NetStaff CS section, then select
    Users
    .
  3. Select your name from the list.
  4. Go to the Permissions section and then select
    Enable
    for Virtual Office CS or SaaS.
  5. Sign out then sign back in.
  6. To add sign-ins for other staff members, go to the Users list and select
    Add
    .
  7. In the
    Add NetStaff CS Users
    window, select the method you want to use to create staff.
  8. Once the staff members are added, go to the Permissions section and select
    Enable
    for Virtual Office CS or SaaS for each member.
  9. If you want to give them administrative rights, select
    Enable
    for Administration.
  10. Install Azure / AVD on all computers that need to work in Virtual Office CS or SaaS applications.

Step 3: Migrate data

It's important to have a plan in place before migrating data to Virtual Office CS or SaaS. Here are a few tips:
  • FileCabinet CS data usually takes the most planning.
  • Your local C:\ drive will show as the V:\ drive in the Virtual Office and SaaS environments.

Step 4: Use your products

Virtual Office CS or SaaS provides remote access to the applications your firm is licensed for. In the Virtual Office CS or SaaS environment, the applications behave similarly to when they're installed locally, with a few exceptions.

Set up your email account in Virtual Office or SaaS

Microsoft Exchange
Microsoft Exchange is an email service option available in Virtual Office CS or SaaS. You can access email using Microsoft Outlook in your environment. You'll need a domain name to enable Microsoft Exchange. Once the account is active, you can sync email messages with phones and tablets using ActiveSync.
POP3 or IMAP
If you're not using Microsoft Exchange on Virtual Office CS or SaaS, a POP3 or IMAP email account is required in Outlook on Virtual Office CS or SaaS to send emails from hosted applications. Outlook on Virtual Office CS or SaaS needs to be open to send the email message immediately or it will be saved in the outbox and sent when Outlook is opened next.

Create a Sender Policy Framework (SPF) Record for your Domain

Firms who use e-file acknowledgement emails, Web Organizers, NetClient CS, or Microsoft Exchange are encouraged to add an SPF record to their domain name. An SPF record will increase successful email delivery rates and help prevent email notifications from being filed as spam.
