Edit PDFs

You can add text, sticky notes, and stamps directly to PDFs that you've saved in your engagement binder and to PDFs that you've attached to AP transactions. You can use the PDF editor even if you don't have other PDF editing applications installed (for example, Adobe Acrobat).

General information

  • Some menu options aren't available in the Workpapers Dashboard PDF editor or for documents that are attached to AP transactions.
  • You can add sticky notes and callouts to the PDF but they won't show if you print it. We recommend that you use the robust Notes feature in the application to create, edit, view, and manage notes.
  • If you want to view inserted text, tick marks, stamps, or other markup in a printed PDF:
    1. In the PDF editor, select
      File
      then
      Print
      .
    2. Go to the Print Options section and select
      Document or Markups
      from the dropdown.
    3. Select
      Print
      .
  • PDFs that have been scanned contain only image-based content. In the PDF editor, select
    Document
    then
    OCR pages
    to use the text tools to change the image as needed.
  • If you have a license for a PDF editing application (for example, Adobe Acrobat) and you want to use that instead, do the following:
    1. In the application, go to
      Setup
      ,
      Firm Information
      , then
      Firm

    2. Select the Preferences tab then go to the Workpapers section.
    3. Mark the checkbox for
      Open PDF workpapers in native PDF application
      .
    4. Select
      Enter
      .
  • When you open a PDF from the Workpapers Dashboard, the PDF opens in a separate window. When you open multiple PDFs, they open in the same window but in separate tabs.

Open PDFs

You can open PDFs from the application 2 ways:
  1. Select
    View
    then
    Workpapers Dashboard
    .
    1. Choose your client then select
      OK
      .
    2. Expand the folders to find the PDF you need then double-click it to open it.
  2. Select
    Actions
    then
    Enter Payables
    .
    1. Go to the Rapid tab and find the transaction with the PDF attached to it.
    2. Double-click the attachment to open the PDF.

Toolbars in the PDF editor

After you've opened your PDF, you can tailor the toolbars based on what you need.
  1. Select
    View
    then
    Toolbars
    .
  2. Mark the toolbars you want to show when you work in the PDF editor.

Customize the toolbars

You can add and delete commands from the toolbars by doing the following:
  1. Select customize toolbar at the end of a toolbar.
  2. Select
    Customize Toolbars
    from the dropdown.
  3. Select the command you want from the list and drag it to the toolbar.

Custom stamps

You can choose a stamp from the default collection in the PDF editor or you can create new stamps.
To open the Stamps Palette, do one of the following:
  1. Select
    Tools
    ,
    Comment and Markup Tools
    , then
    Show Stamps Palette
    .
  2. Select stamps on the toolbar then select
    Show Stamps Palette
    from the dropdown.
You can add new palettes and new stamps.
  1. To add a new palette, select new stamp palette on the toolbar.
    • You can create multiple palettes and each palette can have multiple stamps.
  2. To add a new stamp, use one of the following ways:
    • Select from image to upload a stamp from a file on your computer.
    • Select from pdf to upload a stamp from another PDF.
    • Select from clipboard to upload a stamp from the system clipboard.

Typewriter tool

You can add text to the PDF with the typewriter tool:
  1. Select typewriter on the toolbar and then select the location in the PDF where you want to add text.
  2. To format the text:
    1. Highlight the text then right-click.
    2. Select
      Text Formatting
      and then select your options.
  3. You can also cut, copy, and paste text.
  4. Use the Properties toolbar to change general information and the appearance of selected text.

Other features

  • You can show the
    Bookmarks
    ,
    Attachments
    , and
    Pages
    tabs in the left frame of the PDF editor.
    • Select
      Options

    • Choose the tabs you want to show.
  • You can use
    Flatten Comments
    to merge selected edits and annotations into the PDF.
    • Select

  • You can use
    Insert/Extract pages
    to add pages from another PDF or extract pages from the current PDF.
    • To insert a page, select
