Fund payroll transactions

note
For live payroll processing only.
Follow these steps to transfer funds from your client's bank account via ACH files to a holding account (the firm's bank account). This lets you make payments on their behalf.
note
If the firm impound bank account limits fund processing to printed checks only, then unprinted payroll checks and open liabilities won't display in the
Funding
window. In that situation, you need to print the checks or pay the liabilities before completing step 2.
  1. Select
    Actions
    , then
    Enter Batch Payroll Checks
    or
    Transactions
    to enter payroll checks.
  2. To fund tax agent or payroll agent transactions, do 1 of the following:
    • Select
      Actions
      , then
      Enter Transactions
to enter unprinted checks to the agents.
    • If you have liabilities to consider, print the payroll checks to generate open liabilities to the agents.
  3. Select
    Actions
    , then
    Process Direct Deposit
    .
  4. Select
    Funding
    .
  5. Mark the checkboxes next to all the transactions for which you want to create ACH files. Select the plus and minus signs to expand and collapse the transaction lists.
    tip
Right-click anywhere on the screen to select or deselect all transactions.
  6. Select
    Process
    .
  7. Select
    Done
    to close the
    Funding
    window.
  8. The funded transactions are selected by default in the
    Process Direct Deposit
screen. Mark the checkboxes next to any other transactions for which you want to create ACH files. Select the plus and minus signs to expand and collapse the transaction lists.
    note
    • To display the funding details (fund type, payee, and amount) of transactions associated with funds, select the transactions, then
      View Funding Detail
      .
    • By default, after transactions are processed in the Funding window, the application automatically selects those funding transactions in the Process Direct Deposit grid when the Funding window closes. This makes it easy to process ACH files immediately. If you want the application to select any related transaction amounts, mark the
Automatically select associated direct deposit transactions after processing funding transactions
      checkbox in the
      Process Direct Deposit Options
      window.
  9. Select
    Create Files
    .
  10. In the Process Direct Deposit File window, you can view the information that will go into the header records for the ACH files. The only field you can change is the
    File Name
field. To accept the information and create the ACH files, select
    OK
    .
  11. Transmit the ACH file to your financial institution to complete the funding.
  12. Select
    File
    , then
    Print Checks
    to print the payroll checks.
    note
To show your clients their impound bank activity, including deposits and payments, print the Impound Client Activity report.
