Verify or change print options for W-2 and 1099 processing

Before you process W-2 or 1099 forms, you can verify or change your form-related printing preferences, including:
  • Client copy format.
  • Filing method.
  • Printer selection.
  • Separator pages.
  • Form ordering worksheet options.
The changes you make in
Print Options
are global overrides. This means they override formats and filing methods you've selected for individual clients, and make those options unavailable at the client level. This may be useful when you would like to make a change to printing preferences or filing methods for all clients.

  3. Review the options and make any changes needed.

Options for Form W-2

  • Employee sort order
    . If you choose Location, Location/Department, or Department, the application automatically applies a secondary sort using employee name.
  • Use W-3 as separator page
    . Mark this checkbox to print a paper copy of the W-3 as a separator page instead of the normal separator page. This checkbox only takes effect if you've chosen to use a separator page in User Preferences.
  • Exclude 2-D barcodes on Forms W-2/W-3
    . By default, the application prints 2-D barcodes on Forms W-2 and W-3.
  • Federal Client Copy Format
    . Select the format to use when printing client copies of the Federal Copy A and W-3. To print the client copy, you need to mark the
    Client copy
    checkbox in the
    Print
    window.
  • Filing Method Selection
    . You can specify the filing method to use for the Copy A/W-3 and the Employee Copy for the selected forms. Per client selection (the method selected at the client level) is selected by default, but if you choose another method here, the application uses that method regardless of what is selected at the client level. The selection you make here only affects the filing copy being sent to the agency or the employee and does not affect the client copy.
  • Send to Employee Self-Service
    . Mark this checkbox to have the application send an electronic copy of the W-2 form to the Employee Self-Service portal when you process any employee copy of the W-2 form, so you don't have to process the W-2s a second time.
  • W-2 Ordering Worksheet Options
    . Use the fields and options in this section to specify the level of detail you want to include in the W-2 Ordering Worksheet.

Options for Form 1099

  • Recipient filter
    . This filter setting applies to all clients. When
    With nonemployee compensation
    or
    Without nonemployee compensation
    are selected, the application ignores any manual selection or deselection of recipients in the
    Edit Payroll Tax Forms
    screen. To print a custom set of recipients, mark the
    All recipients
    checkbox here and then clear the
    Print all recipients
    checkbox in the
    Process Payroll Tax Forms
    screen.
  • Printing threshold amount
    . If there's a threshold amount below which you don't want to print 1099s for the selected clients, enter that amount here.
  • Use 1096 as separator page
    . Mark this checkbox to print a paper copy of the 1096 as a separator page instead of the normal separator page. This checkbox only takes effect if you've chosen to use a separator page in User Preferences.
  • Federal Client Copy Format
    . Select the format to use when printing client copies of the Federal Copy A and 1096. To print the client copy, you need to mark the
    Client Copy
    checkbox in the
    Print
    window.
  • Filing Method Selection
    . You can specify the filing method to use for the Copy A/1096 and the Recipient copy for the selected forms. Per client selection (the method selected at the client level) is selected by default, but if you choose another method here, the application uses that method regardless of what is selected at the client level. The selection you make here only affects the filing copy being sent to the agency or the recipient and does not affect the client copy.
  • Send to Employee Self-Service
    . Mark this checkbox to have the application send an electronic copy of the 10990-NEC form to the Employee Self-Service portal when you process the 1099-NEC forms, so you don't have to process them a second time. The electronic copy of the 1099-NEC form is not sent to Employee Self-Service when only Copy A is selected for processing.
  • Copy to Hide
    . If there are 1099 copies you're not planning to process, mark the checkboxes to hide them in the
    Process Payroll Tax Forms
    screen.
  • 1099 Ordering Worksheet Options
    . Use the fields and options in this section to specify the level of detail you want to include in the 1099 Ordering Worksheet.
