Memo accounts

The Account Classification default account grouping lets you code accounts as memo accounts. Assigning accounts to this classification code affects how the application treats the balances and their behavior on reports and financial statements.
Unlike CSA, the MEMO code in the application carries balances forward from year to year.

Zero the starting memo account balances

If you need the Memo accounts to start at zero at the beginning of the year, but the rest of the balance sheet accounts shouldn't, follow these steps:
  1. Select
    Actions
    ,
    Change Posting Period
    , then select the period you want to move to.
  2. In the
    Year End Close
    window, clear the
    Zero account balances
    checkbox.
  3. Select
    Actions
    , then
    Enter Trial Balance
    .
  4. If necessary, select
    View Maintenance
    and add a column to display the beginning balances.
  5. In the grid, find the memo accounts and enter 0.00 in the beginning balance column.

Include memo account balances in reports and financial statements

Memo accounts don’t normally post to the general ledger or appear on reports. If you want your reports and financial statements to include the memo account balances, use the following steps:
  1. Select
    File
    , then
    Report Designer
    .
  2. Double-click the report or financial statement you want to change.
  3. Select
    File
    , then
    Save As
    and give the report or financial statement a new name.
  4. Select the cell containing the amount variable.
  5. In the
    Design Tools
    pane, select the icon next to
    Grouping content
    .
  6. In the
    Formula
    window, select the
    +
    operator if necessary.
  7. Find the MEMO code, then select the column to the next to
    MEMO
    to add it to the formula.
  8. Select
    OK
    to close the
    Formula
    window.
  9. Select
    File
    ,
    Page Setup
    , then the
    Report
    tab.
  10. In the
    Implied Type Filtering Options
    section, select
    None
    from the
    GL accounts
    dropdown.
  11. Select
    OK
    .
  12. Select
    File
    , then
    Save
    .
