Action items

Action items in Tracker let you know about things that may require your review or action and helps you quickly access tasks that require your attention. The Action items page is the default home page for most Tracker users. The options available to you are determined by your company's system settings, your system role and your preference settings. After you complete a required action, it is removed from the Action Items list.

Description
Invoices to review
Invoices pending your review. The number includes only those invoices for which you are a primary, alternate, or additional reviewer. Anyone who has been set up as your alternate within an invoice approval route will also receive this alert. Selecting this tile opens the Invoice Review page.
note
This alert doesn't include all pending invoices within the law department or for which you're a delegate. Delegates with invoice approval authority don't receive action item alerts to review invoices.
Proforma invoices to review
Proforma invoices pending your review. Selecting this tile opens the Proforma Invoice Review page.
Timekeeper pending rates
If you are a designated timekeeper rate reviewer, you are notified that timekeeper rates are ready for review. Selecting this tile opens the Pending Rates page.
Timekeeper audits to review
Shows the pending invoices with new timekeepers or timekeeper rate changes. Selecting this tile opens the TK Audits page.
Budgets pending review
Alerts appear here when:
  • The law firm has modified its budget and you are responsible for financial data in a matter.
  • A matter has been set up to have a company matter budget and you are responsible for financial data in the matter.
Selecting this tile opens the Pending Budgets page.
Accruals pending review
An alert appears here if the firm has entered its unbilled amounts, your company requires review of unbilled amounts, and you are a user responsible for financial data in a matter. Selecting this tile takes you to the Pending Unbilled Amounts page.
Timesheet not due yet
Shows the number of upcoming timesheets and the date they are due.
Service of process errors
An alert appears when there are service of process errors that require your review. Selecting this tile opens your Documents page.
Service of process intake
Shows service of process items that require response data. Selecting this tile opens your Documents page.
Documents to review
If you are an editor or administrator on a matter and any matter participant posts a document with a request for review, an alert appears here and will be displayed until you view the document. Viewing the document listing page does not remove the alert.
Jobs pending
Pending posting jobs. Selecting this tile opens the jobs Notifications page.
Matter intake
Pending matter intake items that require attention.
Pending evaluations
Shows the number of pending evaluations assigned to you. Selecting this tile opens the Pending evaluations page.

The Action Items page

  1. Tiles provide a quick overview of pending tasks.
  2. The dropdown shows the ten most recent pending invoices by default, but can be changed to 20 or 30. This setting is retained and will be applied the next time you visit the page.
  3. Select the chevron to expand and collapse the pane. This setting is retained and will be applied the next time you visit the page.
  4. Invoice reviewers can open the invoice directly from the list in the Invoice column.
  5. If you have access, you can use the chevron to the far right to expand and collapse the Dashboards pane.
  6. The Matter action items pane shows details about matters tasks due for matters that need your immediate attention. Use the chevron to the far right to expand and collapse

The Dashboard pane

The Dashboards pane shows your dashboards. Select Edit dashboard to toggle between classic and next-generation dashboards.
Matter action items pane
The Matter action items pane shows tasks due for matters that need your immediate attention. It does not list of all of your matters. Select a hyperlink to open the matter.

Who received alerts?

  • Any user who has been expressly added to a matter as a matter participant with a matter role of matter administrator or matter editor (this automatically includes lead company persons or lead outside counsel).
  • Any user who has access to the matter because the user is a delegate of a matter participant who is a matter administrator or matter editor.

Who doesn't receive alerts?

  • Any user who has access to the matter solely because they have a system role of "company system administrator" (These users can view all company matters but don't receive Action Items alert solely because of their system role.).
  • Any user who has access to the matter solely because of special matter access privileges (i.e. they have been set up to have access to all matters within a given organizational unit or practice group).
    note
    Tracker does not show action items alerts for these users because their action items show alerts for all matters. It would be almost impossible to distinguish alerts that truly are the responsibility of the user from alerts for matters in which the user is not responsible but has access.
When an alert doesn't appear on your action items
There are two primary reasons for alerts to not appear on your Action Items:
  1. You have already viewed/addressed the alerts. Once you view a Document Request for Review or Status Report Material Change alert the system automatically clears that icon from your Action Items. No action needs to be taken for these alerts to be removed. The Matter Profile Incomplete, Pending Budget, and Status Report Due alerts are automatically removed from your Action Items once the action is complete.
  2. You may not be directly invited to the matter that is generating the alert. As explained above, the second reason an alert may not appear on your Action Items is that only direct participants on a matter receive Action Items alerts relating to that matter.
