Document Alerts and Requests for Review

When a matter document requires your attention, you'll see an action item on your Action Items page. You'll also receive email notifications for some document events, depending on your user preferences.

Document alert types

Document alerts are one of the following types:
  • Review Requested:
    Applies to contracts and other documents. When your attention is required, you will receive an action items alert, and you can set your user preferences to send you email notifications as well.
  • Action Required:
    For SOP records, you'll receive action items alerts when there are incomplete SOP responses. You may also receive an email if the SOP intake is configured for email notices of incomplete SOP response information.
Document alerts appear on your Action Items page.

Working with document alerts

Click the
Review
link in the
Document
column of the Action Items page to open the Documents page of the matter.
Action Required alert
An Action Required alert is marked by a triangle-shaped icon next to the document name in the matter-level document list. This alert indicates that response fields within the SOP profile need to be completed. Initially, an alert will appear if the Response Due Date field in the profile is incomplete. Once the response due date is provided, a second alert indicates that response information, such as the day the response was made and the response attachment, needs to be entered in Tracker.
Clear an Action Required alert
When all the response information is complete in the SOP record profile, the alert will disappear.
Review Requested alert
A Review Requested alert is marked by a document flag next to the document name in the matter-level documents list. This alert indicates that another user has requested that you review a document in the matter.
Send a request for a Document review
  1. Select
    Matters
    >
     Matter list
    in the left navigation.
  2. Click a matter to open it then click
    Documents
    .
  3. To request a review for a document you are uploading, set
    Review/Comment
    to
    Yes
    in
    Item Settings - All Files
    when you upload it.
To request a review for a document already in Tracker
  1. Open the document's details panel and click
    Edit
    .
  2. Set
    Review Requested
    to
    Yes
    .
  3. Provide a comment when prompted, then save your changes.
Send a request for review to specific users
When a request for review is set for a document, the alert is sent to all users with a matter role of editor or higher. To ask specific users to review a document, create an Event titled Document Review with an email notification, and specify those users as Other users.
  1. Select
    Matters
    >
     Matter list
    in the left navigation.
  2. Click a matter to open it then click
    Events
    .
  3. Select
    Create date/event
    from the toolbar.
  4. Choose
    Other
    for
    Date/Event Type
    .
  5. Type
    Document Review
    in the text box below.
  6. Select the appropriate document next to
    Related to document
    .
  7. Select
    Yes
    for
    Email Notifications
    .
  8. Under
    Recipients
    , check the
    Other User
    box to select the appropriate user.
  9. To notify additional recipients, check the
    Other Email(s)
    box, then enter the appropriate email addresses separated by a semi-colon.
Clear a Review Requested alert
To clear an alert, right-click the document in the documents list, then select
Mark Read
.
