Invoice approval workflow

The invoicing workflow in Tracker is essentially identical to the workflow for paper invoices, except that the process is entirely electronic:
  • The law firm generates an electronic invoice directly or through a third party such as eBILLINGHUB, and posts it to the applicable matter in Tracker.
  • The invoice must then pass certain preliminary compliance tests in Tracker before it can be delivered to the company (for example, it must be billed to a matter that exists). In some cases, the invoice is “on hold” pending the firm completing a required task. Once the task is completed, the invoice is released to the company.
  • Upon passing these preliminary tests the invoice will be immediately accessible to the first reviewer by clicking Invoices on the Tracker Action items page. The first reviewer may also opt to get an email notification of the invoice arrival.
  • The initial reviewer will review and make necessary adjustments to the invoice and then approve the invoice. Tracker can be configured to auto-reduce or auto-reject invoice for audit guidelines violations.
  • The invoice is electronically routed to the next reviewer, if applicable, and ultimately to the final approver. In some cases, an Accounting Code Reviewer may review the final coding before the invoice is ready to be sent to accounts payable.
  • The final approved invoices are then batched and manually or automatically transmitted to the applicable accounts payable department
Because the law firm submits the invoice electronically, the data is automatically captured without any data re-entry and can be used to create spending reports.
In addition, Tracker lets company users submit invoices electronically on behalf of a firm or other third party that might be billing your company.
