Managing Organizational Units

Each matter is assigned to an organizational unit. Company System Administrators can specify the organizational units from which matter creators can choose. This help topic explains how to add, rename, move, deactivate, and delete organizational units.
Adding Organizational Units
You can create up to five tiers below the top-level organizational unit (called All Organizational Units). Each organizational unit can have up to 72 subunits below the organizational unit. In other words, you can create 72 subunits below the top-level organizational unit, and then each of those organizational units can have 72 subunits below them.
To add an organizational unit to the list:
  1. Select
    Settings
    in the left navigation.
  2. Under
    Company Setup
    , select
    Organizational Units
    . The Organizational Unit (new) page opens.
  3. Click
    Add subunit
    next to the top tier under which you want to create the new units.
  4. In the
    Name
    box, type a name for the new organizational unit.
  5. On the toolbar, select
    Save & close
    .
Renaming Organizational Units
You can change the name of any existing organizational unit. However, be aware that when you change the name, it will affect the name in all existing matters, but you will have to log out of Tracker before the new name takes effect.
To change an organizational unit's name:
  1. Select
    Settings
    in the left navigation.
  2. Under
    Company Setup
    , select
    Organizational Units
    . The Organizational Unit (new) page opens.
  3. Click the name of the organizational unit you would like to edit.
  4. In the
    Name
    box, type the new name for the organizational unit.
  5. On the toolbar, select
    Save & close
    .
Moving Organizational Units
Organizational units are listed in alphabetical order. You cannot change the order in which they appear, but you can move an organizational unit to another tier. For example, if you create a new organizational unit in the general corporate tier called "Contracts Management" you could then move that unit underneath the "Legal" organizational unit.
Be aware that if you move an organizational it, it will affect all existing matters, but the change will not take effect until you log out of Tracker. To move organizational units:
  1. Select
    Settings
    in the left navigation.
  2. Under
    Company Setup
    , select
    Organizational Units
    . The Organizational Unit (new) page opens.
  3. Click and drag the organizational unit to its new location. If you see an arrow with a small box, you can drop the unit; if you see a circle with a line through it, the location you are trying to move to is not valid. 
Deactivating Organizational Units
You can deactivate organizational units so that they are not available for users to select. You might do this if you anticipate using the organizational unit again in the future, or if you want to keep a historical record of organizational units. You also have the option of deleting organizational units.
Be aware that deactivating an organizational unit will not change its value in existing matters. To remove a deactivated organizational unit from existing matters, you must edit the Matter Profile.
To deactivate an organizational unit
  1. Select
    Settings
    in the left navigation.
  2. Under
    Company Setup
    , select
    Organizational Units
    . The Organizational Unit (new) page opens.
  3. Next to
    Active
    , click the box to remove the check mark.
  4. On the toolbar, select
    Save & close
    .
To view deactivated organizational units, at the top of the Organizational Units page, select
Both active/inactive
from the drop-down list, and then click
Change View
. Deactivated organizational units will appear with a strikethrough.
To reactivate an organizational unit, at the top of the Organizational Units page, be sure that
Both active/inactive
is selected as the page view option. Then click the name of the organizational unit you want to reactivate, and click the box next to
Active
and click
Save & close
.
Deleting Organizational Units
You can delete organizational units if you think you will never use them again or if you do not need a historical record of the units. However, Tracker prevents you from deleting an organizational unit if it is associated with an open matter and displays an error message if you try. You must either deactivate the organizational unit or reassign a new organizational unit to the open matter first.
To delete an organizational unit:
  1. Select
    Settings
    in the left navigation.
  2. Under
    Company Setup
    , select
    Organizational Units
    . The Organizational Unit (new) page opens.
  3. On the top toolbar click
    Save & close.
    If Tracker returns an error message indicating that there are open matters associated with the organizational unit, then you can click the matter name to edit the Matter Profile and assign a new organizational unit.
Export a list of Organizational Units
  1. Select
    Settings
    in the left navigation.
  2. In the
    Company Setup
    section, click
    Organizational Units
  3. On the toolbar, click the three small dots icon, then select
    Export
    .
