Create detail invoice with subtotals

You can format Practice CS invoices to include the detail WIP transactions that make up the billed amount. By default, the transactions are shown in date order, even if the date is not shown for each item. You might want to display the transactions grouped and subtotaled by one of the items on the transactions, like the staff who performed the work.
To create an invoice format that will group and subtotal detail transactions, use the following steps. For the purposes of illustration, this procedure will show how to group transactions by staff with a subtotal of hours.
  1. Select
    Setup
    , then
    Custom Formats
    .
  2. Double-click the invoice format you'd like to add detail grouped by staff.
  3. Select
    Format
    , then
    Format Wizard
    .
  4. Select the
    Billing Information
    tab.
  5. In
    Grouping Options
    , select the high-level grouping options for the invoice, like Engagement or Activity. Select
    <None>
    if you're not using a high-level grouping.
  6. In the next open
    Grouping Options
    field enter the item to group the detail items by.
  7. Mark the
    Show Hrs/Units
    and
    Show Billed Amounts
    checkboxes as needed.
  8. Select the fields to be included for each detail line in the
    Entry Detail Fields
    section.
  9. Select the
    Main
    tab and change the name of the format in the
    Enter a description for this format
    field.
  10. Select
    Finish
    .
  11. Select
    Preview
    Preview
  12. Adjust the size and position of the fields as needed.
  13. Continue to preview until you're happy with the results.
  14. Select
    Save
    save to save the new format.
