Grant security privileges to edit projects and tasks

You may want to prevent select staff members from modifying or completing project or task information. In Practice CS, you can restrict or grant access to project and task data using security groups. To do this, you must first create or modify the security group(s).
If your firm is new to using Practice CS Security, you may need to review the more about security privileges before proceeding.
  1. Select
    Setup
    , then
    Security Groups
    .
  2. Find the group to edit and select
    Edit
    , or select
    Add
    to create a new group.
  3. In the Privilege Selection pane, select
    Practice CS
    ,
    Data
    ,
    Schedule Item Data
    , then
    Project Data
    .
  4. Modify the security by marking and clearing the checkboxes.
  5. Select
    Enter
    to save your changes.
After you save the security group, make sure that the staff are members of the group.

Details on access granted or restricted

If
Edit Project Information
is marked, staff can:
  • Change the tracking description of the project.
  • Change any of the date information, including the due date.
  • Put the project on extension.
  • Change the responsible and/or department.
  • Change the assigned.
  • Enter notes.
  • Modify their schedule for the project.
  • Modify any of the recurrence options.
If
Edit Project Information
is marked, staff can't:
  • Modify budgets.
  • View, add, edit or delete links.
  • View or edit custom fields.
  • Add a project to a client.
  • Delete a project from a client.
If you want to give access to budgets, links, custom fields, or audit history, mark the corresponding checkbox for Project Data.
If
Edit Task Information
is marked, staff can:
  • Change the order number of the task.
  • Change the target or actual dates.
  • Change the tracking description of the task.
  • Change the assigned.
  • Enter notes.
  • Modify the schedule for the task.
If
Edit Task Information
is marked, staff can't:
  • Modify budgets.
  • View, add, edit or delete links.
  • View or edit custom fields.
  • Add a task to a project.
  • Delete a task from a project.
If you want to give access to budgets, links, custom fields, or audit history, mark the corresponding checkbox for Project Data.
Practice CS will automatically mark and clear checkboxes when necessary. For example, if you mark
Complete Projects
, Practice CS will automatically mark
Edit
because in order to complete projects, staff must be able to edit projects.
