Review Wizard overview

SurePrep's 1040SCAN captures data from your digital workpapers. The
Review Wizard
lets verifiers review data captured by the OCR (Optical Character Recognition), bookmark pages, organize documents, find duplicates, and export data. The
Review Wizard
is optimized to help verifiers review and capture data.
The
Review Wizard
is split into separate steps to ensure the data is properly verified and aggregated. To streamline the verification process,
Review Wizard
will automatically skip steps that don’t require any attention.
The verifiers will go through the following
Review Wizard
steps:
Step 1 - Pre-Verification
Step 2 - Verification Wizard
Step 3 - Superseded Documents
Step 4 - Child Form Association (CFA)
Step 5 - Duplicate Data
Step 6 - New Form Review (NFR)

Step 1 - Pre-Verification

On the
Pre-Verification
step, verifiers will confirm payer names, dates, and account numbers (mainly from brokerage statements). This information is used to ensure the correct aggregation of data and bookmarking of pages. This will make sure multi-page documents (for example, Page 1 of 20) are properly linked together before the verification process begins.
Accurately completing the
Pre-Verification
step results in the consolidated statement data flowing to the appropriate tax return and superseded statements getting properly categorized.

Step 2 - Verification Wizard

On the
Verification
step, verifiers will review all pages included in the PDF files that were submitted. 
Verifiers will perform the following actions on each page:
  • Review each input field.
  • Make corrections to data that is incorrectly read by OCR.
  • Add data that was overlooked.
  • Delete extraneous data.

Verifiers don’t verify/review data on non-standard documents, Excel, Word, or email files.
Additional note: SurePrep Bookmark Only
Verifiers will use the
Bookmark Only
feature on documents that have SurePrep's
Bookmark only
barcode stamp on top of the page. Place the barcode on pages you want to verifiers to bookmark.
Documents marked as bookmark only will be located in the
Index Tree
panel in SPbinder, however, data from the
Bookmark Only
page won’t export to the tax application.
  • Example: This can be used for PTP (Publicly Traded Partnership) Schedule K-1's or complex hedge fund K-1's
Additional Note: SurePrep include in tax return
You can add SurePrep's
Include in Return
barcode stamp to indicate to inform verifiers that the information needs to be entered into the return. Non-standard documents won’t be verified by SurePrep.
  • Example: The taxpayer sends a consolidated 1099 for an entity with a name and an EIN that don’t match the Taxpayer or Spouse. Place this stamp on the 1st page of the consolidated 1099 that indicates the name and account number.

Barcodes should be placed on the top of the document. Barcodes should not cover any pertinent information. Remember, verifiers don’t determine where the amount will be exported in the tax return.

Step 3 - Superseded Documents

The
Superseded Documents
step identifies potentially duplicate copies of source documents. This wizard appears when there are 2 or more source documents from the same payer for the same recipient. Verifiers review the payer's name, recipient name, identification number, and account number. If all matched, they determine if 1 document is marked as a corrected copy. The verifier places a checkmark next to the document that should not be entered into the tax return.
In SPbinder, the superseded document is placed under the
Unused
 section on the
Index Tree
panel. The data is captured from the other copy.
Accurately completing this step ensures both documents won’t export as 1 duplicate data (that is, not added together in 1 form)

Step 4 - Child Form Association (CFA)

Certain source documents have more than 1 place in the tax application to enter such values.  For instance, a 1099-MISC may relate to a Schedule C, E, or F entity. This step lets you define this relationship for any such document.
Available Child Forms
 can be associated with the
Available Parent Forms
on the left panel. Selecting source documents opens the possible parent form on the left panel. Verifiers double-click the source document to analyze the payer name, property address, and if the name matches then the verifier associates the document with its parent form. Connections made in this step are retained for subsequent years' tax return binders.
Unassociated documents will be imported to their default section in the tax application. They can then be moved/assigned to their entity by the end-user. 

Step 5 - Duplicate Data

The
Duplicate Data
step appears if OCR identified duplicate data across Organizer pages and source documents. Accurately completing the Duplicate Data wizard ensures that amounts are not duplicated between Organizers and source documents.
If the payer name, ownership code, and amounts match then the Organizer page amounts will be automatically marked as duplicate data and won’t be presented for review.
However, if the payer name and/or ownership don’t match, but the amounts match, then the Organizer page amounts will be marked as probable duplicates and will be presented to the verifier for review.

The verifier/end-user should pay special attention to the OCR tickmarks on the Organizer pages.

Step 6 - New Form Review (NFR)

On the
New Form Review
(NFR) step, verifiers review and/or identify how current year documents relate to the proforma form in the tax application. If the source document relates to a proforma form on the left panel, then move it over to that proforma. This step is important to make sure that application codes and other carryovers are retained.
Unmatched documents are exported to the tax application as entirely new input forms. Any proforma form in the left panel, without a document, will become part of the
Missing Documents
 list in SPbinder.
For Consolidated 1099 Statements documents, if the default tax form setup is “Consolidated 1099 forms”, but the proforma input forms are in the individual 1099-INT/1099-DIV forms, then the Consolidated 1099 documents won’t show up in the NFR step. The Consolidated 1099 documents can't be matched to individual 1099 INT/DIV forms if the default option is for “Consolidated 1099 forms”.

For Schedule K-1's and other documents which generate carryforward, completing this step correctly will result in more efficient return preparation. SurePrep recommends the end-user to complete this step in addition to the verifier.

Verification complete

You'll see the following message if a binder has no additional verification steps remaining (steps 3-6) or if the binder has no pages available to verify:
Verification complete. No further actions are required.

Unable to capture and identify any verification data in this engagement. Verification is complete and no further actions are required.
