Auto-verification

SurePrep's OCR (1040SCAN) can automatically verify data by extracting the text layer(s) from a native PDF or using Artificial Intelligence and Machine Learning to auto-verify certain data for non-native PDFs(i.e., scanned images).
Native PDF
A native PDF is a PDF that was digitally created, distributed, and downloaded directly from a financial institution (i.e. document was not scanned). For example, a 1099 form downloaded directly from a financial institution's website will still retain its original text layer.
Non-native PDF
Non-native PDFs are documents that were scanned in from a physical paper document and uploaded to the binder (as a PDF image). Using Artificial Intelligence (AI) and Machine Learning (ML), 1040SCAN can auto-verify certain non-native PDFs. Even though you cannot highlight text on a scanned page (i.e. Non-native PDF), SurePrep can use AI/ML to auto-verify certain documents.

Similar to documents that are auto-verified as native PDFs, supported non-native pages that are auto-verified will not appear in the verification step by default.
Viewing auto-verified pages
A page with all its fields auto-verified using the PDF’s text layer is identified as
Auto Verified
. To view auto-verified pages, click the
Show Page(s)
 menu on the toolbar, then click
Auto Verified
from the drop-down.
Native PDF page that was auto-verified using the native PDF's text layer can still be placed in the
In Verification
section under the following conditions:
  • Pages that are not fully auto-verified. For example, PDF(s) that are only partially verified using both native pre-defined business rules (via OCR) and the PDF's text layer. In this case, if a field is verified by OCR then the page will appear

  • There is a barcode on the page.
  • There is an empty field. This could be due to the OCR picking up an identifier that does not match the Proforma.Example: OCR picked up SSN as 333-33-33, however, the client's proforma only includes 111-11-1111 or 222-22-2222. This, in turn, will make SSN an empty field which will make the Native PDF document appear in the
    In Verification
     section.
  • A required field is missing (Payer's name, SSN, etc.) from the template.

Auto-verified fields and stamps

Input fields highlighted in pink were auto-verified using the native PDF's text layer. If all fields on a page are auto-verified then the source document is moved to the
Auto Verified
section under the
Show Page(s)
menu.
 
Auto-verified pages will also have an
Auto-Verified
stamp on top. The stamp will not appear in SPbinder.
 

Auto-verification in SPbinder

In SPbinder, auto-verified fields have the following tickmarks associated with them:
Indicates the input field has been auto-verified using the native PDF's text layer.
Indicates the input field has been auto-verified using the PDF's text layer and pre-defined business rules.

What is a native PDF vs a non-native PDF?

True native PDFs are digitally created documents from a software with its original text layer still intact. A PDF document downloaded from a financial institution, payroll website, etc. can be uploaded to the binder as a native PDF. A document will not be considered a native PDF if it's a printed image that was scanned and uploaded.
Identifying native PDF
Here are some indicators that can identify a native PDF:
  • Text can be selected and searched (Does not include text layer created through OCR)
  • Zooming in does not degrade the text quality (Does not include text layer created through OCR)
  • The PDF text layer was digitally added from software (Tax software, Adobe Acrobat Reader, Microsoft Word, Microsoft Excel, etc.). The text layer can also include fillable forms that were filled and then digitally printed as non-fillable Adobe PDFs.
For native PDF, you are able to select each letter individually.
Non-native PDF
Here are some indicators that can identify a non-native PDF:
  • Scanned PDF
    : Documents scanned through the scanner and uploaded are saved as an image PDF.
  • OCR PDF
    : Some software allows you to use Optical Character Recognition (OCR) feature to convert a scanned image to a text layer. However, this text layer does not qualify as a true native PDF.
For non-native PDF, text appears as an image and you cannot select individual characters.

Binders with all native PDF documents

If all the pages in a submitted binder are auto-verified using the native PDF's text layer then the binder will skip (Step 2) Verification Wizard, and proceed to the next step.

Billing Auto-Verified Pages

SurePrep's OCR (Optical Character Recognition) extracts the text data directly from a native PDF document and auto-verifies the information. Auto-verified documents are billed at a different rate, allowing you to save verification costs and time.
