Check documents in and out

To replace a document, first check out the document and then check in the updated document. If you see that a document is checked out, someone else might be updating it.

Check out

  1. Find the binder with the files you want to access in
    FileRoom
    .
  2. In the
    OPTIONS
    column, select the
    Picklist
    icon for the binder.
  3. Select
    File
    from the dropdown menu.
  4. When the
    File
    window appears, locate the document you want to check out, then select
    Check Out
    .
  5. In the
    Check Out Document
    window, select
    Check Out
    .
  6. The
    Check Out
    link will now change to
    Check In
    .

Check in

  1. Find the binder with the files you want to access in
    FileRoom
    .
  2. Go to the
    OPTIONS
    column and select the
    Picklist
    icon for the binder.
  3. Select
    File
    from the dropdown menu.
  4. When the
    File
    window appears, locate the document you want to check in, then select
    Check In
    .
  5. On the
    Check In Document (Upload the new version) window
    , select
    Choose File
    to locate the document from your local machine. Optionally, you can also enter a comment in the
    Comment
    field.
  6. Select
    Check In
    to upload an updated document.
    The file extension of the document you're checking in should match that of the previously checked out document. If it's not, you'll see a message informing you of this. If you get this message, select 
    Cancel
    and check in your document again, making sure to select a document of the same type.
    If the name of the document doesn't match with the name of the previously checked out document, you'll see a warning message. Select 
    Save
    if you're OK with the different name, or
    Cancel
    if you want to go back to the
    Check In Document (Upload the new version)
    window.
  7. If you want to revert to the previously checked out document, select
    Undo Check Out
    .
