Creating a binder is a starting point from where you can submit your client's tax documents and have them processed through OCR, get verified, and go into SPbinder for preparation. You can create a binder for your client by providing basic information about the type of binder you want to create. At this stage, you can set which firm user should be the Owner, the office location, binder access permissions, and binder tax year.
When you create a binder in FileRoom, SurePrep gets your client's information from the tax application and creates a binder specifically catered for that taxpayer client. The information fetched from your client's tax application file is used to create placeholders called “proforma” (for example, W-2 proforma placeholder for “ABCD, Inc.”). In SPBinder, you can organize documents to their respective (proforma) categories and export the data to the correct entities in the tax application.
You will need to upload the client's most recent tax application file details. Before creating a binder, make sure the client is created or proforma (roll forwarded) to the current tax year.
When submitting binders in FileRoom, you'll need to upload the client's most recent locator. You can upload binders as in-house or outsource services.

If the PBFX file doesn’t open the
Create New Binder
window then make sure the following steps have been completed:
SPbinder must be installed on your device. .
Check if the PBFX file is set to open SPbinder. .
When the
Create New Binder
wizard opens, go to the
Select Binder Options
section, and select the options. All options with a (red) border on the left of the field are required.
Under the
Select Binder Template
section, select the template with the tax year and
GoSystem Tax RS
as the tax application.
Under
Select Source Documents
, select
Browse
.
Select your source documents, then select
Open
to attach the source documents.
Go to the
Select GoSystem Tax RS return
section, then select the
Account
option your client's tax return is located in. Skip to the next step if the
Account
is preselected.
If your firm has more than 1 account ID, select the
Account
option and select the account ID in GoSystem Tax RS.
The account IDs added at
Admin
Account Setup
Tax File Activation
GoSystem Tax RS
will be displayed in the dropdown list. View Tax File Activation for GoSystem Tax RS.
If the name of the 1st selected source document matches the Return, then the
Return
ID and
SP Client ID
fields will automatically populate based on the source document name.
If the name of the 1st selected source document doesn't match the locator, then the
Return
ID field will populate incorrectly. In that case, enter the correct
Return
ID from GoSystem Tax RS in the
Return
field.
Enter any unique identifier text in the
SP Client ID
field.
SP Client ID
can be the same as
Return
ID, however, no 2 binders can have the same
SP Client ID
.

You can find your client's
Return
ID in GoSystem Tax RS under the
Return
column.
If your client's return is password protected in GoSystem Tax RS, select the
Return is Password Protected
checkbox to enable the
Password
field. Type the password for the return in the
Password
field. Skip to the next step if your client's return is not password protected.
Select
Submit
to submit the binder.
Outsource binders
Before creating an outsource binder (
Outsource Onshore/Offshore
only), you must first assign a locator to SurePrep.
In FileRoom, point to the
Create New Binder
caret icon.
Point to

.
