Notes checklist

The
Notes
checklist item in the Reviewer Dashboard lets you quickly look through all notes added in a binder without opening the SPbinder. You can also review responses added to each note along with linked workpapers. Reviewers can review each note thread to see if they’ve been cleared or uncleared (needs to be addressed). 

Notes checklist

On the client's checklist, select
Notes
to review SPbinder notes.
Notes checklist item shows the number of uncleared notes that need to be addressed. Once all uncleared notes have been addressed, the checklist status will change from (Needs Attention) to (Complete).
The
Notes
checklist will appear in the middle panel with all the notes in the binder.

Icons indicate the following statuses:

Note types
Different note type categories can help you organize, prepare, and review binder notes/comments efficiently. SurePrep provides predefined default note types that you can use in the binder. Your firm can also create custom note types.
Predefined note types
Description
General
Used for all general notes related to the return (default).
Missing Item
Used for missing information and prior year amounts that can be entered in the amount field.
Permanent
Rolls over to the next year as an uncleared note in the next year's
Review Tree
. You can also link the permanent note to a workpaper and make it roll forward to next year.
Documents(Workpapers) linked to a permanent note will perpetually Roll Forward each year.
Review
Used for reviewing certain areas, it can be created by the Preparer to mention details that require further attention by the Reviewer.
Custom note
Used for personal customization, you can create any custom note type in the
Admin
,
SPbinder
, then
Custom Note Type
. Custom notes will appear as an option along with all predefined notes. 
Only note types that are used in the binder will appear in the list in the Reviewer Dashboard.
You can select the note type header to expand or collapse all the notes in the category. 
Uncleared notes count
Each note type shows a (yellow) circle with a numerical value that indicates the number of uncleared notes in the client's binder for that specific category.
Sequence number
The number next to each note indicates the sequence in which the note appears in the SPbinder from oldest to newest. Sequence numbers are not specific to a note type and therefore won’t appear in the list if the note is assigned to another category.
By default, in SPbinder, notes appear in the order they were added, irrespective of note type. While in the Reviewer Dashboard, all notes are first organized and grouped together under their respective
Note Type
categories, then the notes appear in sequential order within that category. For example, all
General
note types in SPbinder appear grouped in the
General Notes
category in the Reviewer Dashboard along with their sequence number.
Note thread
You can select the note to view additional details about the note, responses to the note, and any linked workpapers.
Only notes with responses will show a
Response
icon. 
If a note is truncated, point to the note to read the full note or select the note to view full text and details.
The parent note and its responses will appear in the last panel to the right.

Missing Item note types will also show the prior year amount entered for the note in the SPbinder.
Linked notes
In SPbinder, a single note can be linked to multiple workpaper pages. You can view linked workpapers in the Reviewer Dashboard's Document Viewer window without opening SPbinder.
Select the number next to
GO TO LINKED WORKPAPER(S)
to individually view the pages linked to the note. 
The linked workpaper/document will appear in a Document Viewer window. You can use the toolbar to zoom in/out, go to a different page, and view the document name.
Uncleared / Cleared
In the middle panel, select
Uncleared
/
Cleared
tabs to see which notes are addressed for that note type. The number in parentheses shows how many notes are cleared/uncleared.
Cleared notes will appear on the right panel in gray color. A stamp on the note shows when the note was cleared and by whom.
Once all uncleared notes have been addressed, the checklist status will change from (Needs Attention) to (Complete).
The client checklist percentage will also update.
Deleted note type
If a custom note is deleted from
Account Admin
, the note will append
(Deleted)
next to the name of the note. You can reassign the note to another note type from SPbinder.

Updating notes

You can select
SPbinder
to directly open the client's binder without going away from the Reviewer Dashboard. 
Open the PBFX file to open SPbinder.
You can do the following in SPbinder:
  • Clear the note.
  • Add/edit/delete notes and their responses.
  • Change note type category.  
  • Update note's text content. 
  • Link or unlink notes from workpapers.
After updating the notes in SPbinder, select
Refresh
to install the changes.

Can I Clear my notes from Reviewer Dashboard?
No, you can't clear/unclear notes from the Reviewer Dashboard. However, you can select
SPbinder
then make updates in the binder.
Can I respond to messages from Reviewer Dashboard?
No, you can't add notes or responses from the Reviewer Dashboard. However, you can select
SPbinder
then make updates in the binder.
Where can I locate the note icon on a linked workpaper?
The note icon doesn’t appear in the Document Viewer window. To view where the note was placed on the workpaper, open the binder then go to the linked workpaper.
Are you required to clear notes to send the Deliverables?
No, you are not required to clear notes to send the deliverables to your TaxCaddy clients. The

checklist item lets you review notes in the client's binder without opening the binder.
Do I need to install SPbinder to make updates?
Yes, you need to have SPbinder installed on your workstation to open the binder.
Why is a workpaper not loading in the Document Viewer window?
You may not be able to see a document in the Document Viewer window if it was added to SPbinder using the drag and drop method, is in a TIFF/TIF file format, or digitally encrypted with a password. As a solution, you can select the SPbinder button to view the workpaper.
