Create custom paragraphs for client documents

You can print and send documents provided with UltraTax CS to clients without changing the documents, or you can customize the documents to meet the needs of your firm. Custom paragraphs let you personalize the documents provided with UltraTax CS.
First, add or edit a custom paragraph. Then, choose which document you want to change and insert a placeholder for the custom paragraph into the document. Finally, you'll need to decide if you want the information to print for all relevant clients within an entity or for 1 client.
You can include custom paragraphs in any of the following documents: transmittal letters, TL shells, filing instructions, FI shells, invoices, elections, slipsheets, inserts, package inserts, and email delivery greetings.

Create a custom paragraph

Follow these steps to create a custom paragraph.
  1. Select
    Setup
    , then the entity (for example, 1040 Individual).
  2. Select the federal or state tab.
  3. Select the document type (for example,
    Letters & Emails
    or
    Filing Instructions
    ).
  4. Select the
    Custom Paragraphs
    tab.
  5. Select
    New
    , name the paragraph, then select
    OK
    .
  6. Enter text for the paragraph.
  7. Select
    Document
    , then
    Save
    .
  8. Select
    Document
    , then
    Exit
    .
Now that you've created a custom paragraph, you can insert a placeholder for the paragraph into a client document.

Insert a placeholder for a custom paragraph

Follow these steps to insert a custom paragraph placeholder into a client document.
  1. Select
    Setup
    , then the entity (for example, 1040 Individual).
  2. Select the federal or state tab.
  3. Select the document type (for example,
    Letters & Emails
    or
    Filing Instructions
    ).
  4. Go to the document you want to edit then select
    Open
    .
  5. Place the cursor where you want to insert the placeholder for a custom paragraph.
  6. Select
    Insert
    ,
    Embedded Content
    , then
    Custom Paragraph
    .
  7. Select the custom paragraph you want to insert then select
    Select
    .
  8. Select
    Document
    , then
    Save
    .
  9. Select
    Document
    , then
    Exit
    .
Now that you've inserted a placeholder for a custom paragraph in a document, you can choose the clients it will print for.

Print a document with a custom paragraph

After you create a custom paragraph and insert a placeholder for the custom paragraph into a document, the placeholder remains in the document. It won't print in the document until you either mark a checkbox so that the paragraph will print in documents for all relevant clients within an entity, or choose up to 5 custom paragraphs in the Letter screen to print for 1 client.

Print documents that include custom paragraphs for all relevant clients

Follow these steps to include a custom paragraph in a document that you want to print for all relevant clients in an entity.
  1. Select
    Setup
    , then the entity (for example, 1040 Individual).
  2. Select the federal or state tab.
  3. Select the document type (for example,
    Letters & Emails
    or
    Filing Instructions
    ).
  4. Select the
    Custom Paragraphs
    tab.
  5. After you decide which custom paragraph you want to include in the document and insert a placeholder for that paragraph, mark the checkbox for the custom paragraph you want to print for all relevant clients.
  6. Select
    Close
    .
  7. Print the document.

Print documents with custom paragraphs for 1 client

Follow these steps to include a custom paragraph in a document that you want to print for 1 client.
  1. After you decide which custom paragraph you want to include in the document and insert a placeholder for that paragraph in a document, open the client's return.
  2. Select the
    General
    folder, then the
    Letter
    tab.
  3. In the Transmittal Letters and Filing Instructions section of the Letter screen, select the paragraph you want to include in the document (up to 5) from the
    Custom paragraphs
    dropdown.
  4. Preview or print the document.
