Edit a search formula in Data Mining

When you select more than 1 criterion for a search, Data Mining creates a search formula consisting of AND and OR relationships between the criteria.
Most Data Mining default search formulas use AND relationships. This means a client's data needs to contain all the selected criteria for the client to pass the search.
Edit the search formula when you need to change the relationships to find 2 or more types of clients who have some data in common.
  1. In the
    Data Mining
    window, select the
    Client database
    , then
    Continue (Step 2)
    .
  2. In the Print selection group box, select the report or letter, mailing labels, or an export report.
  3. In the Client search/focus group box, select
    Add / Modify Searches
    .
  4. Select the name of the user-created search, then
    Edit
    .
  5. Select
    Edit Formula
    .
  6. To change the relationship between criteria, select a search criterion and drag it to a new position in the AND or OR column, or select

    or
    OR
    .
  7. Select
    Done
    , then
    Done
    again.
Example: Search for 1040 clients who had an adjusted gross income of more than $50,000 and whose employer's names contained either the word "Bowman" or "Beech."
  1. Select
    1040 Individual
    from
    Client database
    dropdown list, then
    Continue (Step 2)
    .
  2. Choose the report or letter, mailing labels, or an export report.
  3. Select
    Add/Modify Searches
    .
  4. To add a new search, select
    Add
    .
  5. To edit an existing custom search, select the search name, then
    Edit.
  6. Enter a
    Search name
    .
  7. Select
    Input screen field
    .
  8. Select the criteria
    Employer's name contains Bowman
    and
    Employer's name contains Beech
    .
  9. Select
    Calculated value
    .
  10. Select the previously defined search criterion,
    Adjusted Gross Income is more than 50000
    from the
    Available criteria
    list.
  11. Select
    Edit Formula
    .
  12. Drag
    Employer's name contains Beech
    to the top of the 2nd column, or select the
    OR
    .
The search will pass all clients whose employer's names contain either "Bowman" or "Beech" and who had an adjusted gross income of more than $50,000.
