Transition to Onvio Documents from another document management application

If you currently use FileCabinet CS or another document management application and you want to transition to Onvio Documents or Onvio Tax Center for client portals, you can use the office management feature in UltraTax CS to store some clients' documents with Onvio and others in your current document management application. You can create a new office profile for your firm, then use Onvio Documents or Onvio Tax Center via that new office. To do so, complete the following steps.

Create the new office profile

  1. In UltraTax CS, select
    Setup
    , then
    Office Configuration
    .
  2. Select
    Office Setup
    .
  3. Enter a new name (such as Onvio Office) in the
    Office
    list to add a new office profile.
  4. If you want to copy customized items such as client documents, print collations, or data entry displays to the new office:
    1. Select
      Transfer Configurable Files
      .
    2. Select your current office profile in the
      From office
      field, the new office profile in the
      To office
      field.
    3. Mark the checkboxes for the items you want available to the new office profile.
    4. Select
      Transfer
      when you're done.
  5. If you want to reassign or copy preparer, reviewer, or staff member profiles to the new office profile:
    1. Select
      Reassign Preparers/Reviewers/Staff
      and reassign them to the new office.
    2. Select
      Reassign
      when you're done.
  6. Select
    Done
    to close the
    Office Setup
    window.

Specify Onvio Documents integration for the new office profile

After adding the new office profile, UltraTax CS automatically selects that profile in the Office Configuration window.
Make sure to select the correct profile in the
UltraTax CS Office currently being configured is
dropdown list, then complete the following steps to configure the office to use Onvio Documents.
  1. Select the
    Onvio
    tab in the
    Office Configuration
    window.
  2. Select
    Onvio Documents
    in the
    Document management
    dropdown.
  3. Select
    Done
    .

Switch between office profiles

Follow these steps to switch between office profiles.
  1. Select
    Setup
    ,
    User Preferences
    , then the
    My Settings
    tab.
  2. Select an office profile from the
    Office
    dropdown.
  3. Select
    OK
    .
  4. UltraTax CS will prompt you to restart and enable the integration settings for the selected office.
    • To restart immediately: Mark the
      Restart UltraTax CS now to use the integrated applications of the new office
      checkbox, then select
      OK
      .
    • To restart manually later, clear that checkbox and select
      OK
      .
    The integrated applications for the new office won't be available until you restart UltraTax CS.
