Use this tab to password protect the client's data, and to prevent any of the following applications or features from accessing the client's data: Data Mining, Practice CS, FileCabinet CS, or data sharing. In addition, you can enable access to password-protected client information within the Electronic Filing Status dialog only.
To open this tab, select the Advanced Properties button in either the New Client or Client Properties dialog.
This tab opens automatically if you attempt to open a password-protected client by entering the master password instead of the client password. In this case, only the
Client password
and
Verify
fields appear in this tab.

If you password protect a client's data, you will need to enter the password (or the master password if you forget the client password) whenever you open the client.
Depending on your security configuration, you may be required to enter the master password before you can assign or change client passwords. If this is the case, the Restrict Access tab includes the
Master password
field and the Continue button, which must be used before the
Deny access to client data unless password is known
checkbox is enabled.

To enable the
Deny access to client data unless password is known
checkbox, enter the master password that was specified in the Setup, Security, Add Master password dialog, and then choose OK.

To enable the

checkbox, select this button after entering the master password in the
Master password
field.

Deny access to client data unless password is known
To password protect this client's data or change an existing password, mark this checkbox. The
Client password
and
Verify
fields then become available so that you can enter and verify the password you want to assign.

Depending on your security configuration, this checkbox may not be available until you enter the master password in the
Master password
field and select the Continue button. The
Master password
field and Continue button are not available if your security configuration does not require them.
Client password
Enter a unique password (or overwrite an existing password), up to eight characters in length, for this client. Then, enter the same password in the
Verify
field and select OK.

Enter the password that you entered in the
Client password
field again to verify that it is correct, and then select OK.

The data sharing feature in UltraTax CS allows all eight federal applications to share demographic client data. It also allows for the sharing of K1 financial data across the 1040, 1041, 1120, and 1065 federal applications. The data will be stored and retrieved for each client using the taxpayer identification number (TIN). The data sharing feature will also provide W-2, 1099-R, 1099-Misc, and 1099-INT data from Accounting CS and Creative Solutions Accounting (CSA) client data for UltraTax CS. The client note will also be shared between UltraTax CS, FileCabinet CS, Fixed Assets CS, and Practice CS.
Deny others Data Sharing access to this client data
Mark this checkbox to deny other clients access to this client's data via Data Sharing. Note that the open client can still receive updates to shared data from other clients. To prevent this client's data from being shared
and
from being updated by changes to other clients' data, mark the
Exempt this client from all Data Sharing functionality
checkbox.

Elect to import the data share of 1065 Schedule K-1's by the per activity method
If you mark this field, when you import data from a 1065 client, multiple units will be created in the K1 1065, 1120S folder. Each unit will represent each activity within the 1065 client which the Schedule K-1 is being data shared from.
Deny Data Mining access to client data
The Data Mining feature enables you to examine your UltraTax CS databases for specific data and client characteristics. Data Mining can help you identify your clients' tax accounting needs, pinpoint tax-savings opportunities, and target communications with your clients.
To have this client's data excluded from any searches performed by Data Mining, mark this checkbox.
Deny FileCabinet CS access to client data
FileCabinet CS provides automatic storage and retrieval mechanisms for documents produced by CS Professional Suite applications. For example, you can use FileCabinet CS to store federal and state tax returns from UltraTax CS, depreciation reports from Fixed Assets CS, and so on.
To deny FileCabinet CS access to this client's data, mark this checkbox. Also mark this checkbox if you want to prevent the automatic backup of this client's UltraTax CS data into FileCabinet CS but want to leave the automatic backup feature enabled in Setup, Office Configuration, then FileCabinet CS tab.

Deny CS Practice Products access to client data
Practice CS provides you with the power and flexibility to handle every practice management task for your firm, including task tracking, maintaining staff and client information, and billing.
UltraTax CS can export invoice information to Practice CS so you don't have to reenter the billing information that appears on an UltraTax CS invoice. This invoice information is used to track the accounts receivable and process receipts in the Practice CS.
To prevent this client's invoice data from being sent to Practice CS, mark this checkbox.
