Client Documents tab (1040)

Use this tab to set client document options that will apply to all 1040 clients.
To view this tab, choose Setup and then 1040 Individual, select the Federal tab, select the Other Return Options button, then select the Client Documents tab.

Client Documents group box
Mark this checkbox to print a detailed list of returns in the transmittal letter. If this checkbox is left blank, the transmittal letter will print "the enclosed returns."
Mark this checkbox to substitute any reference to bank account numbers in filing instructions with asterisks. For example, when a refund is direct-debited, the filing instructions would substitute all digits except the last four digits of the account number. You can use this option to mask your client's bank account number on the client's filing instructions, which allows you to protect your client's privacy.
Mark this checkbox to print an engagement letter with the tax return. You can also choose to print an engagement letter with a client's organizer by marking the
Print Individual Engagement Letter
checkbox in the Setup and then 1040 Individual, Organizer tab, Other return options section.
By default, Form 8453 filing instructions print with Form 8453 for document attachments indicated in Screen 8453 as code

. This is useful for sending Form 8453 to your client requesting certain documents prior to mailing Form 8453. Mark this checkbox if you prefer to print Form 8453 filing instructions for all indicated attachments.
Mark this checkbox to have UltraTax CS print "AS SOON AS POSSIBLE" instead of the due date in the Filing Instructions. "AS SOON AS POSSIBLE" prints in any of the following situations:
  • The return was not extended, and the system date of your computer is after the original due date of the return.
  • The return was extended, and the system date of your computer is after the extended due date of the return.
  • The return was extended, the return has a balance due, and the system date of your computer is before the extended due date of the return.
For example, when this checkbox is marked, the return is marked for extension, and the return is printed before the extended due date, the extended due date will be reported in the filing instructions. If this return is marked for extension, the return has a balance due, and the return is printed after the original due date but before the extended due date, "AS SOON AS POSSIBLE" will be reported in the filing instructions. If the return is marked for extension and the return is printed after the extended due date, "AS SOON AS POSSIBLE" will be reported in the filing instructions.
The due date of your return will be reported as the date in the

field in the Pen Screen, located in the Payments folder, if there is an amount due. the
Number of days to add to "date printed"
field can be used to determine the system date of your computer. To find this field, choose Setup and then 1040 Individual, select the Federal tab, select the Letters & Emails button, and select the Options button.
Mark this checkbox to have UltraTax CS print "AS SOON AS POSSIBLE" instead of the due date in the filing instructions only when penalties and/or interest exist in the return.
If this checkbox is marked, the system date of your computer is after the due date, and there are no penalties or interest, the due date will print instead of "AS SOON AS POSSIBLE."
An extended return with a balance due will incur interest, so even if penalties or interest is not calculating in the return, in this case the due date will still print "AS SOON AS POSSIBLE."
Mark this checkbox to have UltraTax CS print "AS SOON AS POSSIBLE" instead of the due date in the filing instructions when the system date of your computer is after the original due date of the return, regardless of extensions.
If this checkbox is marked, the return is marked for extension, and the return is printed after April 15, the filing instructions will always print "AS SOON AS POSSIBLE," even if the return is printed before the extended due date and a refund is claimed.
When this checkbox is marked, the filing instructions will include the following bolded text:
Important: Your return will not be filed with the IRS until the signed Form 8879 IRS e-file Signature Authorization has been received by this office.
By default, UltraTax CS/1040 produces paper filing instructions when any diagnostics exist on the ELF Critical tab of the Federal Diagnostics dialog. Clearing ELF critical diagnostics allows the electronic file to pass error checking and produces electronic return filing instructions. However, in cases where the IRS announces a delay in processing returns containing forms impacted by late legislation or a delay in the electronic filing start date, this option would allow delivery of the e-file filing instructions when the return is ready for delivery to the taxpayer.
Mark this checkbox to print electronic return filing instructions without a review of ELF critical diagnostics. Electronic filing instructions will be produced for all clients whose
File this return electronically
field on the ELF (Electronic Filing folder) Screen is marked.
Mark this checkbox for the Bank Account Verification filing instruction text to always instruct the taxpayer that the Bank Account Verification Worksheet must be signed and returned before their return can be filed, even if the
Taxpayer verified all bank information by
field on the Bank Screen in the General folder is completed. When this checkbox is not marked, the text will change to read that the worksheet has already been signed and returned when the

Estimate Filing Instructions group box
Mark this checkbox to have the UltraTax CS 1040 Estimate Instructions print "Paid" next to the voucher payments that are indicated as paid by data entry in the
2025
Estimates paid
,
1st pymt
through
4th pymt
fields in the Est Screen. If the calculated estimates still have a balance due after a payment is applied, “Paid” will not print. Estimates that have been calculated as $0 due to application of an overpayment will not print “Paid.”
Mark this box to print Form 1040 Estimate Instructions with no estimated tax payment information for any quarters that do not have a balance due amount. The filing instructions will list the Due Date and Remittance for just the quarters that have payments due.
