Editing a search formula in Data Mining

When you select more than one criterion for a search, Data Mining creates a search formula consisting of AND and OR relationships between the criteria. Most Data Mining default search formulas use AND relationships. This means a client's data must contain
all
the selected criteria for the client to pass the search. Edit the search formula when you need to change the relationships to find two or more types of clients who have some data in common. Follow these steps to change the AND/OR relationships and group the criteria logically for a user-created search.
The following steps assume you're already on the
Select Search Criteria
window in Data Mining.
  1. When you have 2 or more criteria selected in the
    Select Search Criteria
    window, select
    Edit Formula
    .
  2. To change the relationship between criteria, select an item and drag it to a new location in the
    AND or OR
    column, or select the
    AND
    or
    OR
    option.
  3. Select
    Done
    to close the
    Edit Formula
    window.
  4. When finished, select
    Done
    to close the
    Select Search Criteria
    window.
Complete the following steps to search for 1040 clients who had an adjusted gross income of more than $50,000 and whose employer's names contained either the word "Bowman" or "Beech."
  1. Select 1040 Individual from the
    Client database
    drop-down list and click the Continue (Step 2) button.
  2. Select the appropriate report and/or letter, mailing labels, or an export report.
  3. Select
    Add/Modify Searches
    .
  4. To add a new search, select
    Add
    . To edit an existing custom search, select to highlight the search name, then
    Edit
    .
  5. If necessary, enter or change the name in the
    Search name
    field.
  6. Select the
    Input screen field
    option.
  7. Select the criteria
    Employer's name contains Bowman
    and
    Employer's name contains Beech
    .
  8. Select the
    Calculated value
    option.
  9. Select the previously defined search criterion,
    - Adjusted Gross Income > 50000
    , from the Available criteria list.
  10. Select
    Edit Formula
    . Notice that all selected search criteria are in the first column, separated by the word AND.
  11. Drag
    Employer's name contains Beech
    to the top of the second column, or choose the
    OR
    option. Notice that
    Employer's name contains Bowman
    and
    Employer's name contains Beech
    are separated by the word
    OR
    .
Result:
The search passes all clients whose employer's names contain either "Bowman" or "Beech" and who had an adjusted gross income of more than $50,000.
