Prepare form W-2

Verify Form W-2

You can use the
Verify W-2s
 screen to specify whether or not employee W-2 information has been verified, either on a client basis or on an employee by employee basis, before processing W-2 forms for a client.
To access the screen, select
Actions
 then
Verify W-2s
.
Use the following fields to work in the screen:
Year.
 Select the processing year for the W-2 information you want to verify.
Filtering fields.
 Use the filtering fields to limit the number of clients displayed in the Client Selection grid.
Include previously verified W-2s.
 By default, clients and employees whose W-2 information has already been verified in this screen are removed from the Client Selection grid. If you want to display verified clients and employees, mark this checkbox. They will display in the grid and the verification date displays in the Date Verified column of the grid.
Client Selection grid.
 Select the plus signs next to each client in the grid to expand the grid and view both client and employee information.
  • Client information.
     The grid contains the following client information.
    • Client ID
    • Client Name
    • Date Verified
    • Employee Selected
  • Employee information.
     The grid contains the following employee information.
    • Employee ID
    • Employee Name
    • SSN
    • Date Verified
Total Clients Selected.
 Displays the number of clients currently selected for verifying W-2 data.
Unverify Selected.
. When verified clients or employees are selected in the grid, you can select this to specify them as
Unverified
 again and to clear the
Date Verified
 field for those records. During W-2 processing, you'll be able to filter for Not Verified clients in the
Process Payroll Tax Forms
 screen.
Verify Selected.
 When clients or employees are selected in the grid, you can select this to specify them as
Verified
 and to populate the
Date Verified
 fields on the selected clients or employees with the current (system) date. During W-2 processing, you'll then be able to filter for Verified clients in the
Process Payroll Tax Forms
 screen.
